The Part Time Payroll and Tax Coordinator is responsible for the company’s payroll function while ensuring compliance with government regulations and company policy. Additional responsibilities include analysis and testing of payroll system modifications and enhancements. Performs all activities necessary to process 1 or more payrolls, including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management. This Non-Exempt in office position and will be approximately 20 hours a week.
This position is responsible for several aspects of accounting for multi-state payroll and contribution forecasting, preparation of payroll data for management as well as payroll accounting, maintenance of payroll records, and review of multi-state payroll. Also ensures all payroll withholding tax including researching, analyzing, and solving problems resulting from payroll processing. This position ensures all employee taxes are properly withheld, deposited and reported on a timely basis and ensures overall payroll tax compliance with all federal, state, and local regulations. Additionally, this position oversees the corporate compliance of sales/use tax.
ESSENTIAL DUTIES AND RESPONSIBILITIES |
Payroll Processing and Compliance
- Manage ADP payroll processing function to ensure the delivery of compliant, accurate and timely payrolls.
- Ensuring payroll and benefit administration compliance
- Maintains payroll guidelines by writing and updating policies and procedures.
- Ensures ADP is preparing and remitting daily, monthly, quarterly and annual tax payments for assigned Federal, State and Local payroll tax returns
- Reconciliation, and subsequent investigation and resolution, of payroll tax liability accounts including, but not limited to, Federal, FUTA, SUTA and State and Local taxes
- Partner with HR to ensure data and accounting accuracy of employees.
- Responsible for required payroll & benefits filings to include 401K, 1095’s, etc.
- Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes and work cooperatively and jointly to provide quality seamless customer service
- Partner with Human Resources and other departments to ensure data integrity and operational efficiencies
Sales/Use Tax (will be owned with the Accounting team)
- Reviewing and submitting required sales/use tax filings
- Manage property tax and other non-income-based taxes, filings, and audits.
- Lead sales and use tax audits, and other transaction tax related compliance of affiliated entities.
- Review monthly tax accruals and effectively analyze general ledger account activities.
- Research sales and use tax statutes, regulations, and court rulings.
- Work with various Exxel Outdoors teams, leading process efficiency projects and documentation.
- Actively engage internal and external partners to answer tax queries and provide timely and accurate advice on transaction tax matters.
- 2 years payroll processing experience required
- Bachelor’s degree in finance or Accounting Preferred
- Experience with ADP Workforce Now
- Payroll tax experience
- Strong knowledge of sales and use tax laws, particularly with software companies
- Strong Excel skills required (including vlookup and pivot tables)
- Excellent communication skills with ability to interact with client, employees and staff in multiple departments

The Accounting area is a collaborative, open space work environment located on the second floor of the 40,000 sq. foot facility located in Broomfield, Colorado. The Payroll Accountant has their own office and desk space that is within the Accounting area. The Accounting area faces west and looks out on open space and the Flatirons There are approximately 50 employees in the 40,000 sq. ft Broomfield corporate facility which houses a workout facility, multiple quiet telephone booths and a large employee breakroom for the employee’s use.
