Job description

The Trade Show and Event Manager will be responsible for planning, coordinating, and executing the company's marketing events. This includes both virtual and in-person events, such as product launches, conferences, trade shows, and promotional events. The Trade Show and Event Manager is responsible for the strategic planning, execution and logistics of trade shows and exhibitions to achieve the business objectives. In addition, this position is responsible for the relationships with our association industry partners and the strategic evaluation and execution of sponsorship and partnership opportunities.

Essential Functions: In addition to working as prescribed in our Performance Factors specific responsibilities of this role include:

  • Incorporates the marketing vision and brand to create an event strategy that aligns to our company goals.
  • Builds out strategy planning into specific action plans, tasks, and tactics, including a project timeline.
  • Leads all projects and associated activities that execute marketing objectives, strategies, programs, and policies for all trade shows and events.
  • Collaborates and communicates closely with internal stakeholders from sales and marketing teams and external agencies to deliver superior quality brand representation.
  • Develops and executes an overarching show strategy including communications and lead management.
  • Creates a comprehensive lead generation and follow-up strategy that ensures maximum return from our investments.
  • Leverages digital marketing activities that drive attendance and engagement.
  • Acts as the primary contact for shows and events to ensure all elements of the trade show are completed.
  • Collaborates and partners with stakeholders and provides consultation and expertise on maximizing our investment opportunities.
  • Delegates tactics as necessary to respective team members and partner agencies. 
  • Identifies all necessary data for campaign execution and reporting and analytics.
  • Establishes goals and KPIs of each activity.
  • Trains and develops talk tracks and messaging for booth staff.
  • Manages and ensures shows remain on budget and on schedule.
  • Identifies appropriate representation at Shows from staffing to executive presence.
  • Develops a process/system to manage all elements of a trade show that creates visibility, centralization of resources and necessary awareness to all stakeholders.
  • Prepares and delivers a show/event recap to the marketing team that includes industry learnings, show feedback, insights and recommendations for the future.

Professional/Industry Associations:

  • Owns the marketing relationship with professional associations and ensures maximization of opportunities – ex: HFMA, NRHA, Beckers, etc.
  • Develops strong relationships with partners and ensures optimization of annual memberships.
  • Analyzes the opportunities and makes recommendations to marketing leadership that align to marketing and company goals.
  • Collaborates with partners on lead generation, branding and thought leadership opportunities bringing them forward to the business.
  • Works with internal marketing team and external partners to bring lead gen, branding and thought leadership opportunities to life.
  • Prepares and delivers a quarterly recap of activities from the prior quarter and quarter ahead to the marketing team.

Minimum Requirements:

Education/Experience/Certification Requirements

  • Minimum 5+ years of experience in trade show and event management strategy and execution.
  • 3+ years-experience working with and/or partnering with professional associations and memberships.
  • 2+ years-experience with digital marketing and automation tools supporting lead generation.
  • 2+ years-experience in healthcare technology field.
  • Ability to manage a large workload with superior attention to detail.
  • Excellent communication and collaboration skills. 
  • Ability to create and deliver organized and impactful presentations. 
  • Highly collaborative mindset able to work across all levels of the organization. 
  • Self-motivated and proactive with a strong attention to detail. 
  • “Why” person – “how can we do this better” – “how we can we optimize this process” mindset.
  • Experience working with external marketing and event agencies.
