Position Summary
As the HRPP Toolkit Project Coordinator, you will coordinate and lead the maintenance of the HRPP Toolkit. In addition, you will serve as the main liaison between the IRB Services Team and Huron IRB Huron Research Suite (HRS) Team(s) and provide subject matter expertise. Responsibilities will include but are not limited to: managing Toolkit changes and releases; overseeing the Toolkit community and subscriptions; HotDocs maintenance and training; and providing subject matter expertise (SME) and coordinating SME feedback for HRS IRB and HRS IRB Exchange.

Key Responsibilities:
Ongoing:

  • • Assess feedback from HRPP Toolkit Community and Huron IRB Solution Community with regard to possible Toolkit updates
  • • Monitor environment for regulatory agency updates and released guidance in conjunction with IRB Regulatory Sub-team and update Toolkit for areas affected by the regulatory changes
  • • Maintain “HRPP Toolkit” files on IRB Services Team site
  • • Update Toolkit customization tools based on revisions as needed
  • • Serve in “HotDocs Developer” role, updating HotDocs templates as Toolkit documents are revised
  • • Coordinate and schedule monthly “Toolkit Change Control” meetings with the IRB Services Team
  • • Work with HRS billing for any Toolkit subscriber updates
  • • With guidance from leadership, communicate any Toolkit subscription fee changes to subscribers
  • • Facilitate the quarterly Toolkit Community meetings
  • • Update and maintain standard templates for HRPP Toolkit implementation Scope of Work and Pricing Tools
  • • Triage IRB/Toolkit questions and queries related to HRS IRB
  • • Attend IRB PAC meetings and contribute to IRB PAC follow-up items (on behalf of IRB Services Team) as needed
  • • Assist IRB Solution co-leads with maintaining IRB POV Documentation for HRS IRB
  • • Execute Toolkit adaptations for client projects

Weekly:

  • • Review and assess Toolkit revision requests submitted via the Change Request Log and coordinate QC review by IRB Services Team
  • • Request clarifications and updated materials as necessary
  • • Assign revisions to team members for additional QC based on expertise and availability
  • • Monitor assigned revisions and due dates
  • • Send due date reminders as necessary
  • • Reassign revisions as necessary


Monthly

  • • Facilitate the IRB Services Team’s discussion of potential revisions during regular Toolkit Change Control meetings
  • • Following Toolkit Change Control meetings, update Change Request Logs and HRPP Toolkit SharePoint content to reflect revised materials
  • • Communicate revisions/new Toolkit document versions to clients if urgent (i.e. urgent changes warranting release of individual documents outside of a standard Toolkit version release) via Listserv
  • • Attend HRS IRB Community calls
  • Version/Upgrade Releases
  • • Maintain interim tracked and clean working drafts of Toolkit
  • • Cross check Toolkit revisions with tracking database for accuracy and completeness
  • • Finalize documents for client-readiness (e.g. de-identify comments and tracked changes for document release to clients)
  • • Draft, distribute for team QC review, and finalize Toolkit Release notes for client release
  • • Update HRPP Toolkit TOC to reflect changes, new documents
  • • Create clean versions of Toolkit documents for use and future version editing
  • • Update HotDocs template library to reflect new Toolkit versions
  • • Revised HotDocs template testing
  • • Facilitate team-wide QA review of each new subscriber release version of toolkit
  • • Maintain up-to-date HRPP Toolkit resources and archives on IRB Services Team Teams site
  • • Communicate Toolkit document updates that impact HRS IRB to IRB Product Manager


QUALIFICATIONS:

  • • Bachelor's Degree.
  • • 5+ years of human research protections/IRB experience.
  • • At least 2 years of direct experience working with the Huron HRPP Toolkit in an implementation or support role.
  • • Certified IRB Professional (CIP) preferred.
  • • Working knowledge of IRB software and software development. Knowledge of HRS IRB preferred.
  • • Highly skilled in using Microsoft Excel, Word, PowerPoint, Visio, and Windows.
  • • Ability to demonstrate critical, analytical thinking in all aspects of the job, both technical and non-technical.
  • • Proven ability to influence cross-functional teams.
  • • Ability to communicate effectively with a wide range of audiences (technical and non-technical, staff and managerial), and in a wide range of settings (e.g., one-on-one, small group, in person, conference calls and via email).
