Job description

Location: Fully Remote, located in the US, working EST

Type: 20 hour/week role with potential for increase

Compensation Range: $70-$80/hr W2

Our inhouse agency pharmaceutical client is looking for a Operations Director consultant who has a PhD or PharmaD to join their Medical Communications department. This role sits within a start up environment to help stand up the Scientific Services group. This role will have deep expertise in Med Comms to provide strategic direction, enhance operational standards, and establish objective benchmarks.

This role will ensure alignment on quality, timeliness, and cost metrics across our client engagements. The ideal candidate will bring a balance of analytical and interpersonal skills, ensuring consistent and realistic expectations in quality and project scope.

Responsibilities:

Benchmarking & Performance Metrics

  • Develop industry-aligned benchmarks for task completion times, expected costs, and quality standards, particularly in medical writing and review functions.
  • Establish and communicate clear performance metrics to assess the efficiency, costeffectiveness, and quality of deliverables.
  • Regularly validate internal costs and efficiencies against external vendor standards to ensure competitiveness.


Process Standardization

  • Implement standardized processes across functions to improve quality, enhance timeliness, and optimize cost-effectiveness.
  • Develop and document workflows that support efficiency while maintaining flexibility to accommodate client-specific needs.


Resource Allocation & Management

  • Oversee resourcing to balance client expectations with internal capabilities, ensuring projects are appropriately staffed.
  • Optimize resource availability to meet business needs, balancing pace and talent constraints to support a seamless client experience.
  • Address any resourcing gaps, taking a proactive approach to planning for both current and future client engagements.


Client Expectations & Scope Management

  • Work closely with client teams to manage expectations, ensuring clear communication on project scope, timelines, and costs.
  • Develop frameworks for negotiating timelines and resources with clients to prevent scope creep and to set realistic expectations.
  • Ensure scope management practices minimize "surprises" and build long-term client confidence.


Leadership & Strategic Direction

  • Act as a key liaison between the tactical execution team and senior leadership, allowing senior team members to focus on high-level strategy.
  • Foster an environment that supports team morale and encourages open communication to address potential challenges proactively.
  • Leverage both hard and soft leadership skills to manage day-to-day operations efficiently, ensuring that quality standards are upheld.


Qualifications

  • Education: PhD required.
  • Experience: 10-15 years in medical communications agency environment, including senior-level experience in operations or project management.
  • Workfront and Proof HQ experience.
  • Industry Expertise: Proven ability to set standards and benchmarks within the Med Comms industry, particularly in medical writing and reviews.
  • Analytical Skills: strong background in operational efficiency, cost analysis, and process optimization.
  • Leadership Abilities: Demonstrated experience managing teams with an ability to balance tactical and strategic responsibilities.
  • Communication Skills: Excellent interpersonal skills with a track record of managing both client and internal expectations effectively.
  • Project Management: Expertise in managing scope, timelines, and budgets across multiple projects to prevent scope creep and maintain quality
