Job Summary

The Billing Manager plays a pivotal role in ensuring the accuracy and integrity of customer invoicing and accounts receivable processes. This leader will manage a team responsible for auditing customer agreements, transactional volumes, and billing processes to ensure proper invoicing and collections. Additionally, the role involves identifying discrepancies, developing corrective actions, and collaborating across departments to enhance billing practices. The ideal candidate will possess a sharp attention to detail, strong analytical skills, and the ability to manage multiple priorities in a fast-evolving business environment. They will also be instrumental in driving process improvements and ensuring financial reporting accuracy, working closely with finance leadership to ensure billing efficiency.

What You Will Do (Functions and Responsibilities)

Customers:

  • Lead a team of billing auditors to review current customer agreements, ensuring proper billing practices are in place.
  • Review active accounts to confirm the existence of current, executed customer agreements. If necessary, pass information along to customer success and/or sales team leads to coordinate the execution of updated customer agreements, and collect agreements into Salesforce.
  • Conduct detailed audits of transactional volume and active unit counts to verify invoicing is accurately capturing and calculating amounts due.
  • Oversee the auditing of Aging Receivables (AR) to ensure effective collections processes and recommend or implement changes to improve efficiency and accuracy.
  • Identify patterns or trends in billing errors, and develop strategies to minimize discrepancies moving forward, including ensuring no automatic payment failures due to the recent migration to NetSuite billing or stored payment information (Paystand).
  • Collaborate with the finance, sales, and customer service teams to address any discrepancies found during the billing audits.

Integration Partners:

  • Review existing integration partner (API) agreements, utilization reports, and compare with invoices to ensure proper API connectivity/utilization fees are invoiced/billed to partners and that the appropriate revenue share is collected. Suggest financially accretive changes to integration partner agreements where applicable.
  • Coordinate the execution of updated integration partner agreements, and collect agreements into LogicGate if necessary.

Audit Management and Reporting:

  • Ensure compliance with relevant financial policies, regulations, and guidelines during the auditing process.
  • Report findings to senior leadership, providing actionable insights to improve billing and AR processes.
  • Develop and maintain internal audit documentation, policies, and procedures for continuous improvement.
  • Manage the day-to-day activities of the billing audit team, providing guidance, mentorship, and performance management.

  • Strong analytical and problem-solving skills, with a sharp focus on details and accuracy in financial reporting.
  • Excellent communication skills, with the ability to articulate complex financial data and discrepancies clearly to stakeholders at all levels.
  • Demonstrated negotiation skills, particularly in resolving discrepancies and advocating for process improvements.
  • Strategic thinker with the ability to analyze data, identify trends, and implement solutions that enhance billing accuracy and financial integrity.
  • Ability to manage multiple priorities with high flexibility and accountability in a dynamic, fast-paced environment.

Experience & Education

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field; CPA or MBA preferred.
  • 7+ years of experience in auditing, billing, or AR management roles.
  • Proven experience in managing teams and leading billing audits or financial reviews.
  • Strong analytical skills with experience in data analysis, transactional volume, and invoicing.
  • Demonstrated ability to implement process improvements and work across departments to enhance billing accuracy.
