About this role
We are seeking an administrative professional to provide administrative, organizational, and logistical support for the Middle East Client business. The ideal candidate will have excellent organization, communication, interpersonal, and problem-solving skills, as well as a high level of discretion and confidentiality. This position is pivotal in fostering a culture of execution excellence within the Middle East platform.
Key responsibilities will include:
Complex diary management for senior leaders of the team.
Coordinate team travel with awareness of potential conflicts; process the relevant expenses in line with company policy.
Assist with itineraries for visitors, co-ordinate conference rooms and materials.
Oversee logistic execution for client engagements. Ensure seamless communication with peers, colleagues and external vendors regarding itineraries, travel guidelines, and visa requirements.
Assist in the preparation of roadshow materials and schedules.
Serve as the primary support contact for investment teams during roadshow preparations, including target lists, focus areas, and speaker updates.
Maintain and leverage a broad network of contacts, effectively communicate and partner with the assistant community and other internal and external stakeholders.
Skills and experience:
Bachelor's degree or equivalent experience in business administration, management, or a related field.
3-5+ years of experience as a personal assistant, executive assistant, or a similar role in a fast-paced and dynamic environment.
Excellent organisational and time management skills, with strong attention to detail. Ability to seamlessly manage multiple tasks with a high degree of accuracy and meet multiple deadlines in a high-pressure environment.
Responsive and thoughtful around requests coming from within and outside of the organization, with a flexible and solutions-oriented approach to planning.
High degree of professionalism, discretion, and confidentiality, with the ability to handle sensitive and confidential information.
Competent in managing a sizable and diverse team.
Skilled in executing detailed tasks within time-sensitive environments, demonstrating a keen sense of urgency.
Excellent written and verbal communication. Fluent in Arabic and English.
Proficiency in Microsoft Outlook, Word, PowerPoint and Excel; experience working with Concur beneficial.
