Summary of Job Duties:
The Administrative Specialist provides essential administrative support to the Department Business Administrator and Program Director. Responsibilities include managing data entry tasks, facilitating communication with stakeholders, and supporting department operations. The ideal candidate will be skilled in organizing, coordinating projects, and managing front-desk responsibilities, including reception and vendor coordination.

  • High School diploma plus three (3) years of administrative experience required.

Responsibilities:

  • Provides comprehensive administrative assistance to the Department Business Administrator and Program Director.
  • Processes and enters data for in-kind and other data sources with a high degree of accuracy and confidentiality.
  • Manages general reception duties, including telephone coverage, greeting visitors, and responding to inquiries.     
  • Addresses questions related to enrollment processes, providing guidance and support as needed.
  • Assists vendors with deliveries and ensure proper communication and documentation for department inventory.
  • Supports the planning, scheduling, and monitoring of departmental meetings, ensuring logistics are in place for seamless execution.
  • Maintains records and monitor timelines to ensure projects and events are completed on schedule.
  • Organizes and coordinate department projects, functions, meetings, and events
  • Maintains and organize departmental data, records, and files, ensuring accessibility and confidentiality.
  • Handles incoming and outgoing communications on behalf of the department, ensuring timely and accurate information flow.
  • Other duties as assigned
