Finance Assistant

We are seeking a detail-oriented Finance Assistant to join our finance department at Scale LLP. This entry-level position will play a crucial role in supporting our billing and accounting processes. The ideal candidate will be proactive, organized, and eager to learn about the financial operations of a legal environment. This position will report to the Director of Finance. It is a 100% remote opportunity.

This position will report to the Director of Finance. It is a 100% remote opportunity.

Day-today responsibilities may include:

  • Billing Support
    • Assist in the preparation and sending of client bills
    • Manage bill approvals 
    • Update and maintain billing system as well as other organizational upkeep
  • Accounting Tasks
    • Help with entering legal expenses into our system and follow up with attorneys.
    • Process credit card requests, record transactions, and make adjustments in our payout software
    • Track and record bank payments, including check deposits and outstanding trusts
  • New Attorney Onboarding
    • Add new attorneys to Clio, Spiff, billing sheets, and related systems
    • Provide general training on various financial systems  
    • Assist attorneys with ongoing requests
  • Month-End Processes
    • Assist with month-end tasks.
    • Support in generating contractor and alum payout reports
    • Participate in uploading bills to client billing portals
  • Data Management
    • Monitor and update the passthrough tracker and assist with the quarterly trust reports
    • Upload outside legal system invoices and learn about LEDES invoices
    • Help manage domestic and  international passthrough invoices
  • Client Interaction
    • Respond to client inquiries regarding payments and generate account statements as needed
    • Handle phone calls related to client payment inquiries

You will succeed in this role if you have:

  • At least one year of experience in accounting or office management in a professional office setting.
  • Familiarity with legal billing systems is a plus (experience with Clio, Spiff, or similar software is an added bonus!)
  • Proficiency in Microsoft Office Suite, particularly Excel
  • Strong organizational skills and attention to detail
  • Excellent communication skills, both written and verbal
  • Ability to manage multiple tasks and prioritize effectively

Compensation: 

We anticipate the base salary to range from $45,000 to $55,000 and will depend on current market data and the candidate's qualification for the role, including education and experience.  The compensation described above is subject to change and could be lower or higher than the range described based on several factors.
