Job Description
  • Create, review and monitor time logs for accuracy and compliance. 
  • Process the payments according to the terms of the agreement. Educate new providers in the use of Time & Effort Record Management System software.
  • Obtain annual purchase order numbers and process payments monthly to contracted independent contractors and tracking the payments to the contract terms using the TERMS database.
  • Review system for past due logs from providers and communicate with provider to get them updated.
  • Assist Contract Manager with the initiation of workflows for individual Physician and Practice Group agreements in the Ntracts process.
  • Assist Contract Manager in the day-to-day movement of the requested physician contracts in the database and addressing issues that may arise between Legal & business owner.
  • Assist with obtaining execution signatures for physician employment agreements.
  • Work with the UMMS Corporate Contract support team to resolve issues; communicate system updates and related information received by the Support team to stakeholders within SJMC.
  • Respond to requests for information received from SJMC Ntracts stakeholders related to contracts.
  • Assist with Ntracts contract database maintenance (e.g., alert Contract support when a stakeholder leaves the organization and assist new business owners with obtaining access to Ntracts).
  • Review non-physician agreements (e.g., maintenance agreements, lab agreements and other service agreements within the SJMC entity for accuracy); maintain communication with contract owners regarding proper termination dates and contract maintenance requests.
  • Run reports and meet with contract owners to answer questions about messages they receive from the system.
  • Perform other duties as assigned.

Qualifications
  • High School Diploma or GED. (Required)
  • 3 years’ experience in a legal office as a paralegal, office administrator, contracts administrator, or related field. (Required)
  • Experience in contracts administration in a healthcare setting. (Preferred)
  • Experience with Ntracts. (Preferred)

  • Ability to understand, interpret and explain contract terms and conditions to relevant stakeholders.
  • Ability to comprehend, analyze, interpret, and communicate applicable federal and state laws, rules and regulations, and UMMS policies and procedures that govern the area of responsibility.
  • Effective analytical, critical thinking, planning, organizational, and problem-solving skills.
  • Ability to analyze, compare, contrast, and validate work with keen attention to detail.
  • Ability to work independently and as part of a team in a fast-paced, dynamic environment.
  • Effective skill managing multiple staff initiatives and meeting changing requirements and priorities to accomplish objectives.
  • Effective skill developing and maintaining collaborative working relationships with all levels of leadership, team members and vendors.
  • Effective verbal, written and interpersonal communication skills.
  • Effective skill in the use of Microsoft Office Suite (e.g., Outlook, Word, Excel, PowerPoint).
