Academic Operations Scheduling Assistant


Location: Remote

Analytics & Planning Manager, Academic Operations


Position Overview:

The Academic Operations Scheduling Assistant is responsible for providing support for the
scheduling operations of Open English Adult, Open English Junior, OM and pilot projects and
brands. This role interfaces with other OE departments, our strategic partners, and our teachers
to provide support, answer questions, and complete operative and repetitive tasks. The
candidate must be very comfortable with administrative tasks and be adept at toggling between
many types of communication avenues in our virtual world. Additionally, the candidate must
possess organizational ability and will be empowered to be self-sufficient toward the goal of
ensuring that our processes and reports are up to date in a timely manner while adhering to our
academic policies and compliance procedures.


Responsibilities:


● Updates weekly reports and dashboards for the Scheduling department KPI’s.
● Processes time-off requests and availability changes from teachers.
● Builds schedule skeletons for all brands.
● Process scheduling requests.
● Provides assistance with other manual urgent tasks such as shift changes and completes
special projects/tasks as assigned.
● Collaborates with other teams within the Academic Operations department when
necessary to ensure the smooth running of the various processes and work towards
common goals.
● Builds weekly reports and processes scheduling requests.
● Provides backup support for the Scheduling team members as needed.
● Reviews teacher posts on different communication channels. Answers scheduling request
forms.
● Completes other tasks as assigned.


Required Qualifications:


● Education and/or Experience: Associate degree in Business or Administrative, from
two-year college or university; or at least 4 years related and verifiable experience and/or
training; or equivalent combination of education and experience.
● Experienced in operative positions that require repetitive work.
● Skilled in Microsoft Excel (intermediate knowledge of formulas, pivot tables, conditional
formatting, etc)
● Proficient in Google Email, Calendar, Sheets and Docs.
● Proficient in data processing and data analysis.
● Able to independently manage work time.
● Strong interpersonal and communication skills.
● B2 English proficiency.
● Experience with Salesforce or another customer or scheduling application is a plus.
