Job description

T&E Administrator / AP Clerk
6+ month contract
100% remote

We are seeking a detail-oriented T&E Administrator/AP Clerk to manage the company's travel and expense processes. This role requires strong communication skills, as you will work directly with employees, providing support and guidance on travel policies, resolving flagged expenses, and ensuring timely processing of reimbursements.


Responsibilities:
Manage and process employee travel and expense reports in compliance with company policies.
Communicate directly with travelers to resolve flagged expenses, answer questions, and provide guidance on T&E procedures.
Ensure that all expenses are properly documented, compliant, and submitted within the required timeframes.
Monitor and address non-compliant expenses by coordinating with travelers and their managers for resolution.
Maintain accurate records of all travel expenses and reimbursements.
Provide regular updates to finance and management teams on T&E compliance and flagged expenses.
Process invoices accurately and efficiently
Determine proper general ledger coding and proper authorization requirements for payments
Maintain vendor records, including acquiring W-9s and bank details for onboarding
Entry of Vendor Invoices into NetSuite (NetSuite is preferred)
Maintain organized and up-to-date accounts payable records
Vendor Statement Reconciliations
Annual 1099 preparation
Month End Close work to include identifying expenses for AP Accrual
Prepare reports
Provide support with annual audit process
Regular communication with several business partners
Address inquiries and discrepancies with both internal and external vendors
Administration of Purchasing 2-way match process

Requirements:
Associate Degree in Accounting
2+ years of T&E and AP experience
Strong verbal and written communication skills, with the ability to interact professionally with employees at all levels.
Prior experience in travel and expense management or a related administrative role.
Excellent organizational and multitasking abilities.
Familiarity with T&E systems such as Navan, Concur, or similar platforms is preferred.
High attention to detail and problem-solving skills.
Experience with Accounting ERP systems, NetSuite preferred
Proficient in MS Office Suite to include MS Excel
Expense reimbursement experience preferred
Effectively communicate processes and controls throughout the organization
Ability to prioritize tasks and work autonomously while making day-to day decision for AP department


Estimated Min Rate: $25.00
Estimated Max Rate: $30.00
