Project Manager Meetings Management, BCD Meetings & Events Belgium
Full-time, (home) based in Belgium
The Project Manager owns and manages client relationships and will serve as the liaison between the clients meeting planner and the hotel/supplier during the sourcing and contracting phase of the meeting and during the planning phase.
You are primarily responsible for site research, selection, RFP development, value-added client counseling, budgeting, negotiations, contracting, and savings consolidation. Additional responsibilities may include attendee registration, website development, program organization, onsite management, and reconciliation.
Programs will vary in scopes and sizes from 10 attendees to 500 attendees. Communication lines within the team are open and flexible, and you will be responsible for following all processes appropriately and being your Client's subject matter expert.
Your Responsibilities
- Source hotel/venue availability based on the program specifications. Provide (via meetings technology) preliminary rate, availability grids, and preliminary program budgets, as required to assist the Client meeting sponsor in making a final decision on program location.
- Negotiate hotel and venue contracts.
- Effectively be able to negotiate Client specific addendum with vendors and venues.
- Work with the Client on hotel deposit payments.
- Manage day-to-day industry relationships.
- Utilize and leverage Client preferred hotel agreements when negotiating hotel contracts.
- Schedule and attend supplier visits as required.
- Ensure technology data integrity.
- Research preferred suppliers to include in RFP responses and provide recommendations potentially.
- Track and report hotel room nights, spending, and savings; ensure technology data integrity.
You're good at
- BA preferred or similar level of experience with a business focus and entrepreneurial spirit.
- Prior event experience and Cvent knowledge is preferred
- Understanding of meeting types and associated considerations
- General understanding of destinations, hotels, and suppliers
- Excellent oral and written communication skills in English and Dutch. French is highly valued
- Agency experience in the meetings management fields is a plus
