Job Overview

We are in search of a highly organized and professional Executive/Personal Assistant to provide exceptional support to a high net worth individual and principal of a distinguished real estate investment family office. The ideal candidate will possess a strong passion for early American history and maintain a thorough understanding of global current events.

Start Date: Mid-January 2025, with an immediate offer available for the right candidate to ensure a seamless transition from the retiring Executive Assistant.

Key Responsibilities

  • Deliver extensive support for the Principal’s personal and professional requirements.
  • Assist in organizing executive lunches and tea service.
  • Oversee the Principal’s calendar, liaising with advisors and staff domestically and internationally.
  • Arrange travel logistics and construct detailed itineraries for both domestic and international trips.
  • Support family members with various tasks as necessary.
  • Maintain calendar appointments in both printed and digital formats.
  • Manage timesheets using Excel.
  • Handle corporate phone communications, sort incoming mail, and assist office visitors.
  • Maintain files, corporate address lists, Outlook contacts, and emergency contact lists.
  • Coordinate corporate contributions and correspondences for tax purposes, including a scholarship fund.
  • Oversee corporate petty cash and prepare expense reports as needed.
  • Assist with basic accounting tasks as required.
  • Draft minutes from meetings.
  • Order office and kitchen supplies, manage copy and postage machines, and oversee other in-house equipment and accounts.
  • Assist with gifting and perform online research.

Required Skills

  • Knowledge of Early American History is essential.
  • Familiarity with the history of Pennsylvania is advantageous.
  • Proficiency in French is a plus.
  • Strong written and verbal communication skills.
  • Highly detail-oriented with outstanding organizational capabilities.
  • Proven experience in coordinating both domestic and international travel.
  • Background in family business contexts is beneficial.
  • Ability to professionally interact with clients and advisors.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.

Qualifications

  • A Bachelor’s degree in a relevant field is preferred.
  • Previous experience as an Executive/Personal Assistant or in a similar role is required.
  • Experience supporting high net worth individuals is advantageous.
