Description

Summary:

Support activities related to the sourcing and contracting of services and equipment / material under a Sourcing Manager.

Job Responsibilities

  • Correspond and work with stakeholders and cross functional (XFN) partners
  • Resolve issues related to Contract and Purchase Request (PR) processes (eg vendor legal entity name changes, inactive vendor status, Third Party Assessment (TPA) mismatch with vendor legal entity name in Contract Record)
  • Post issues and follow up on various workplace groups
  • Update and maintain various trackers and/or tools
  • Load negotiated contract rates into Rate Card
  • Clean up / review / monitor / ensure data integrity of the Facility Operations (FacOps) Critical Services dashboard and the IDC Financial Management System (FMS)
  • Create and update trackers (eg Master Statement Of Work (MSOW) contract number and temple version control, progress associated with vendor transition, contract termination, and category wide contract issuance)
  • Update supplier contacts (eg relationship ladder)
  • Provide stakeholder support
  • Light guidance on intake process and questions
  • Triage site operational issues and escalate to Sourcing Manager if unable to resolve
  • Assist Sourcing Manager with contracting
  • Review and negotiate low risk contract drafts
  • Review and validate Purchase Order Exhibit (POE) details and simple contract amendments / extensions against contracted rates and terms
  • Draft contract deal summary
  • Support contract management optimization
  • Provide analytical support including but not limited to:
  • Pulling data and consolidate information
  • Performing spend analysis, bid leveling, rate comparison
  • Interact with suppliers
  • Track and follow up with suppliers on Business Review action items
  • Train new suppliers on KPI reporting process, ensure reporting compliance, and review (supplier) data integrity
  • Provide support on non-baseline equipment
  • Maintain equipment Price List and perform Bill of Material check on requests
  • Coordinate and issue RFP events for pricing requests, Change Orders, and PO issuance
  • Commercial analysis and comparison pricing from bidders
  • PO/CO Issuance to suppliers
  • Training and onboarding suppliers
  • Update and manage process documentations
  • Provide ad hoc project support and other duties as needed (eg; invoice audit, preferred supplier list clean up, implement process efficiencies, etc.)

Skills And Experience

  • Verbal and written communication skills, attention to detail, negotiation skills and interpersonal skills.
  • Ability to analyze financial reports, price proposals and other technical data.
  • Ability to accurately document and record information.
  • Knowledge of applicable laws and regulations related to purchasing.
  • Knowledge of supply chain management.
  • Experienced in process improvements and driving value for an organization.
  • Experienced in working in a multi-regional/global environment.
  • Proficiency with Microsoft suite (Word, Excel, and Powerpoint) and Google Productivity Suite (GDocs, GSheets, GForms, and GSlides)
  • Relevant experience range from 2-6 years

Education/Experience

  • Bachelor's degree in business, economics, finance or a related business field preferred.
