Job Overview

We are on the lookout for a meticulous and proactive Administrative and Finance Assistant to enhance our dynamic team! In this role, you will play an essential part in providing comprehensive administrative and financial support to ensure our operations run seamlessly. Leveraging your robust organizational and financial acumen, you will manage a range of responsibilities including office management, budgeting, invoicing, and financial record-keeping. This hybrid position offers flexibility, accommodating 25-30 hours in the office, with an option to work 5-10 hours remotely each week. We also invite candidates who prefer a fully remote setup to apply.

Key Responsibilities

  • Deliver high-level administrative assistance to the CEO and team members.
  • Execute general office tasks, including phone management and email correspondence with professionalism and warmth.
  • Effectively coordinate meetings, appointments, and travel arrangements.
  • Maintain an organized inventory of office supplies, ensuring timely orders.
  • Organize and manage both digital and physical office files for efficient document retrieval.
  • Navigate multiple priorities in a fast-paced environment while demonstrating exceptional attention to detail.
  • Respond promptly and professionally to vendor and customer inquiries regarding payments and invoices.
  • Assist with vendor verification and ensure adherence to company policies and procedures.
  • Upload vendor invoices into the accounting system, maintaining proper documentation.
  • Support credit card reconciliation by accurately matching transactions with receipts.
  • Scan, organize, and manage incoming mail correspondence for effective record-keeping.
  • Prepare necessary documentation and reports to facilitate audits.
  • Collaborate with the finance team on additional administrative tasks as required.

Required Skills

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with accounting software (e.g., QuickBooks, SAP).
  • Excellent organizational abilities and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Experience in bookkeeping and financial processes is advantageous.

Qualifications

  • A minimum of an Associate's degree in Business Administration, Finance, Accounting, or a related field is required (Bachelor's degree preferred).
  • Demonstrated experience in administrative positions with exposure to financial responsibilities.
