Position Summary

EBI Consulting is seeking a full-time Project Coordinator to support clients within our Real Estate Practice.  The successful candidate will be primarily responsible for effectively staffing all projects booked for a given geographic region, technical area, and/or Practice-segment.  This position is integral to assuring on-time delivery and stable workload management for staff.  At times, Project Coordinator may be required to assist with other duties including, but not limited to, booking projects, coordinating meetings, coordinating training, training new staff on calendar utilization and system updates.

 

This position reports to the National Project Coordination Manager and is a full remote, work from home position. As such, candidates must already have an established office in their residence and be able to thrive in this working environment.

 

Essential Duties and Responsibilities

  • Assign new workload within one business day from the booking date, and ensure staff with the appropriate qualifications are assigned to individual tasks
  • Assignments made based on staff qualifications, capacity, and deadline.  All internal and external resources considered to staff in most cost-efficient manner including reduction of travel costs, grouping projects so multiple sites may be completed on a single trip, etc
  • Responsible for coordination with outside consultants / subcontractors as directed, potentially including but not limited to, negotiation of vendor fees, communication of scope of work and deadlines, vendor purchase orders, and payment reconciliation
  • Maintain frequent communications with the Area Operations Managers regarding staffing challenges, technical capacity concerns, or troubleshooting
  • Inputs assignments into staff calendars, including site visit and write time
  • Works with assessors and site contacts to confirm site visit dates, effectively communicating with all applicable team members

 

 

Qualifications and Capabilities

  • Associate’s Degree or higher from accredited university preferred
  • At least 3 years administrative and/or operations support experience
  • In lieu of collegiate degree, an equivalent combination of education, training and professional experience may be considered
