This is a remote position.

Job Title: Executive Assistant

Schedule: Full-Time (40 hours per week), 9:00 AM - 6:00 PM Sydney Time with 1-hour unpaid
break

Job Overview:
Our client is seeking a proactive and highly organized Executive Assistant who excels in lead generation using LinkedIn Navigator, possesses strong graphic design skills, and has experience in managing calendars efficiently. The ideal candidate will support our team with daily
administrative tasks while ensuring effective lead generation and client engagement through LinkedIn.

Key Responsibilities:
1. Lead Generation:
○ Utilize LinkedIn Navigator to identify, connect, and engage with potential clients and business leads.
○ Create and implement strategies to build and nurture a strong network of professional connections.
○ Track and analyze LinkedIn engagement metrics to improve outreach and lead conversion rates.

2. Graphics and Marketing Support:
○ Design visually appealing graphics for social media, presentations, and marketing materials using software like Canva or Adobe Creative Suite.
○ Collaborate with the marketing team to ensure brand consistency in all visual content.
○ Support in developing digital marketing campaigns and promotional materials.

3. Calendar Management:
○ Manage and coordinate the executive’s calendar, scheduling meetings, appointments, and client calls efficiently.
○ Prioritize tasks and handle last-minute changes or urgent scheduling needs with professionalism.
○ Prepare and organize materials for meetings, ensuring executives are briefed and prepared in advance.
4. Administrative Support:
○ Assist with email management, responding to client inquiries, and maintaining organized communication records.
○ Prepare reports, presentations, and documents as needed.
○ Provide general administrative support to the executive team to streamline operations and increase productivity.

Special Tasks:
● Finding relevant CPD courses to support the client's professional development.
● Client care post-service, including sending thank-you notes and gifts.
● Enhancing LinkedIn, website, and Google Business Profile visibility.
● Researching and enrolling in courses for business expansion.

Qualifications:
● Proven experience as an Executive Assistant or similar role, preferably within the legal or professional services sector.
● Proficiency in LinkedIn Navigator with a track record of successful lead generation.
● Strong graphic design skills; experience with tools such as Canva or Adobe Creative Suite is a plus.
● Excellent calendar management skills, including the ability to prioritize and handle changes promptly.
● Exceptional communication and interpersonal skills.
● Highly organized, detail-oriented, and able to manage multiple tasks simultaneously.
● Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

Preferred Skills:
● Experience in digital marketing or social media management.
● Experience with EDMs and email marketing to engage repeat clients.
● Experience in Smokeball preferred.
● Familiarity with CRM tools like HubSpot or Zoho.
● Background in working within the legal industry is an advantage.
