ABOUT THE ROLE

At HUB International, the Technology and Operations’ Asset Manager will be responsible for ensuring that IT assets are effectively managed, maintained, and secure, while optimizing costs and minimizing risks. This role requires close collaboration with the Infrastructure, InfoSecurity, Service Management, Procurement, and Compliance teams to ensure that IT assets align with the organization’s operational and cybersecurity policies.

Primary Responsibilities and Activities

  • Maintain accurate records of all IT assets, ensuring that the inventory is up-to-date and complete. Implement and maintain an IT asset management system (ITAM) to track and monitor assets across the organization.
  • Work with Asset and Service Owners to ensure management of the full lifecycle of IT assets, including procurement, deployment, tracking, maintenance, and decommissioning of hardware, software, and cloud resources.
  • Participate in tracking IT asset expenses, forecasting future costs, and identifying opportunities to reduce spending through improved procurement and asset utilization.
  • Ensure that IT assets are managed in compliance with the organization’s information security policies and regulatory standards (e.g., GDPR, HIPAA). Collaborate with the InfoSec team to ensure that all IT assets are properly secured, patched, and monitored.
  • Work with the InfoSec team to enforce policies for hardware encryption, software updates, and secure asset disposal. Work with Owners to identify and mitigate risks associated with IT assets, such as unauthorized access, data breaches, outdated software, or non-compliant devices.
  • Assist in incident response by providing accurate data on IT asset configurations, locations, and usage. Support investigations related to security incidents, breaches, or vulnerabilities involving IT assets.
  • Partner with necessary stakeholders to develop a process for the tracking of software licenses to ensure compliance with vendor agreements and avoid overspending on unused licenses. Monitor software usage and optimize license allocation across the organization.
  • Support the organization in managing relationships with vendors for hardware, software, and service contracts. Ensure that contracts are optimized for cost efficiency and aligned with the organization's security and performance needs.
  • Ensure that end-of-life IT assets are securely decommissioned, adhering to information security protocols and environmental regulations. Work with InfoSec to guarantee that sensitive data is wiped or destroyed before asset disposal.
  • Collaborate with legal and compliance teams to ensure that IT asset management practices meet all relevant legal, regulatory, and audit requirements. Prepare reports for audits and reviews, documenting asset compliance.
  • Work closely with the InfoSecurity, IT Operations, Procurement, and Compliance teams to ensure that IT asset management processes support the organization's overall strategy and security posture.
  • Manage team members directly and indirectly in support of asset management objectives.

Job Requirements

Education:  Bachelor’s degree in Information Technology, Computer Science, Business Administration, or a related field.

Experience:

  • 5+ years of experience in IT asset management, with a strong understanding of asset lifecycle management and cybersecurity principles.
  • Experience with IT asset management systems (e.g., ServiceNow or other ITAM tools).
  • Certification a plus, as in or similar to:  ITIL Foundation Certification, Certified in IT Asset Management (CITAM), Certified Software Asset Manager (CSAM), Certified Information Systems Security Professional (CISSP), Certified Information Security Manager (CISM)

Knowledge and Skills

  • Excellent communication skills to interact with users, vendors, and stakeholders.
  • Strong problem-solving skills and ability to manage multiple priorities.
  • Knowledge of software licensing, hardware procurement, and cloud service management.
  • Strong understanding of information security practices, including vulnerability management, encryption, and secure data handling.
  • Experience in managing IT budgets and vendor contracts.
  • Familiarity with regulatory frameworks (e.g., GDPR, HIPAA, SOX) and IT governance (e.g., ITIL, COBIT).
  • Demonstrates strong emotional intelligence and respect for others

Working Conditions

Chicago preferred; open to remote.  Occasional travel to support projects or vendor relationships.
