Job description

Expel is growing our administrative team to support our executive leaders and their relentless mission to get sh** done. Are you able to both fall in love with details and know when it's time to make a decision? Are you passionate about organization, execution, and collaboration? Do you enjoy problem solving, critical thinking, and strategic decision making? Does partnering with executives and an admin team to achieve company-wide goals bring you excitement? If any of this resonates with you, then we’d love to hear from you!

You’ll join our fast paced, versatile Admin & Office Experience (AOX) team who supports the highest priorities of our executives at Expel. Specifically, you’ll directly support our Chief Marketing Officer, Chief Product Officer, and their organizations. In addition, you’ll be part of helping conceptualize and execute company-wide engagement alongside the AOX team. Your skills and experience will add an invaluable contribution to elevating the standard for how we operate and help guide Expel’s maturing capabilities.

The ideal candidate will be trusted with managing a wide range of responsibilities to support both c-level executives and broader company objectives. The person in this role will have a demonstrated track record of taking initiative, navigating and acting upon ambiguity, and the ability to work both independently and on a close-knit team to consistently deliver results and raise the bar for what success looks like. In this fast-paced setting, we need someone who has a skill for anticipating needs, proactively and strategically planning ahead, and serving as a steady and reliable presence to keep executives, their teams, and company priorities all in balance.

What you can do for Expel
  • Provide dedicated administrative support to the Chief Product Officer and Chief Marketing Officer, ensuring seamless workflow management
  • Act as a strategic thought partner by identifying ways to optimize executive time, proactively taking tasks off their plate, and initiating projects on their behalf
  • Independently manage complex, dynamic executive calendars, resolving scheduling conflicts, proposing solutions, and ensuring agendas are well-organized and communicated
  • Exercise administrative judgment; assume responsibility for decisions, consequences, and results impacting executives, teams, and/or quality of service within the functional area
  • Proactively identify and manage special projects to enhance the AOX team’s efficiency, including project tracking and process improvement
  • Organize and execute high-quality events for executives and their teams while managing department-specific budget considerations
  • Assist in drafting communications, managing follow-ups, taking detailed notes, and tracking action items to ensure timely execution of tasks and priorities
  • Engage clearly and professionally in both verbal and written communication with your executives, the broader AOX team, company-wide departments, and external stakeholders (i.e. customers, partners, prospects, and vendors)
  • Establish strong relationships with employees and external stakeholders, creating memorable interactions and fostering engagement
  • Handle complex travel arrangements, ensuring executives have all necessary details and documents for smooth travel, including hotel bookings, flight arrangements, and other applicable logistical details
  • Serve as a backup for other Executive Assistants, stepping in as needed to maintain operational continuity across the executive support team
  • Maintain a high level of confidentiality and discretion when handling sensitive information
  • Provide a variety of other department-specific support as needed
  • Poke fun at our executives from time to time…we gotta keep ‘em humble amirite?

What Expel can do for you
  • Expose you to executives who are leading the growth of one of the most innovative cybersecurity companies out there
  • Challenge you to build solutions that improve processes and build strong working relationships
  • Provide an environment that encourages robust dialogue to continuously improve the status quo
  • Expose you to the inner workings of our product and how we market it
  • Tap into your creative side when solving problems - we love new ideas
  • Provide coaching, feedback, and opportunities to grow your professional skills
  • Place you on a close-knit administrative team who operates like a well-oiled machine

What you should bring with you
  • Strong organizational skills, reflecting the ability to prioritize, plan, and execute multiple urgent tasks seamlessly
  • A positive, team-first attitude - we rise by lifting others
  • High level of proficiency in Google Workspace in conjunction with excellent writing, proofreading, and editing skills
  • Self-motivated with strong skills in proactivity, decision-making, and time management
  • Confidence in asking questions and seeking guidance when necessary
  • A willingness to embrace change and maintain a mindset of continuous learning
  • A keen eye for efficiency, constantly engaged in improving results by studying, evaluating, and redesigning processes, then implementing effective changes
  • Exceptional attention to detail
  • Ability to navigate ambiguity and make informed decisions with limited information or context, ensuring effective problem-solving and forward momentum in dynamic environments
  • Strong communication skills with the ability to effectively provide and receive feedback from both executives and other team members, fostering a collaborative and transparent working environment
  • Ability to be concise with communication, verbally and in writing, with technical and non-technical audiences
  • An understanding of the importance of follow-up and task completion in the wake of (sometimes constant) interruptions
  • Ability to support executives in different time zones, including outside of east coast business hours
  • 5+ years of professional experience in an executive support role, preferably supporting go-to-market (GTM) strategy and teams
