Job Overview

We are seeking a meticulous and proactive Administrative Assistant to join our Talent Acquisition and Security teams in a remote capacity. In this critical role, you will play an essential part in ensuring our corporate processes run seamlessly, thereby contributing significantly to our organization’s success. Key Responsibilities

  • Manage and coordinate multiple schedules, calendars, and shared email accounts, leveraging various Microsoft systems to facilitate team support.
  • Arrange meetings and interviews while maintaining effective communication with all corporate team members and management.
  • Provide fundamental technical assistance for corporate systems in collaboration with the IT department.
  • Monitor and address Help Desk tickets related to the Recruiting and Security teams.
  • Develop and input data for job descriptions, requisitions, and workflows within the Applicant Tracking System (ATS).
  • Assist with administrative tasks across Talent Acquisition and Security platforms.
  • Compile and generate reports on a weekly, monthly, quarterly, and annual basis for managers and directors.
  • Document meeting minutes and prepare written summaries as necessary.
  • Address and resolve administrative inquiries and concerns.
  • Assist in the preparation of agendas and schedules for meetings.
  • Undertake customary administrative functions, including ad-hoc project support.
  • Help organize and plan employee appreciation initiatives.
  • Maintain and organize document repositories as requested.
  • Perform additional administrative tasks as assigned.

Qualifications

  • A minimum of three years of experience in administrative support or office management.
  • Proven ability to effectively interact with all levels of management.
  • Excellent written and verbal communication skills.
  • A high school diploma is required.
  • Strong attention to detail paired with exceptional organizational skills.
  • Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with travel platforms.
  • Demonstrated ability to manage confidential information discreetly.
  • A proactive mindset with a willingness to adapt to shifting priorities.
  • Availability to work core hours from Monday to Friday, 9 AM to 5 PM EST.
  • U.S. citizenship and capability to work EST hours.

Preferred Skills

  • A bachelor's degree is preferred but not mandatory.
  • Advanced knowledge of Microsoft Office Suite, especially Excel and PowerPoint.
  • Experience in supporting government contracting companies or clientele.
  • Basic IT support experience, including troubleshooting common technical issues, is advantageous.
  • Familiarity with recruitment processes or hiring teams.
  • Knowledge of suitability or clearance processes.

Clearance Requirements

  • Must be eligible to obtain and maintain a Public Trust clearance.
