Job description

Job Overview

We are looking for a professional and detail-oriented Executive Administrative Assistant to provide top-notch administrative support to our Chief Investment Officer (CIO) and the Investment team executives. This essential role will contribute to the effective functioning of our New York office by overseeing visitor management, coordinating work orders, handling deliveries, and delivering comprehensive administrative assistance.

Key Responsibilities

  • Manage the CIO’s calendar and assist team VPs with scheduling meetings and arranging domestic and international travel.
  • Keep the Executive informed of upcoming commitments, ensuring necessary follow-ups occur.
  • Maintain awareness of the office environment, proactively updating the Executive on challenges and priorities.
  • Anticipate the needs of the Executive prior to meetings and activities.
  • Prepare and distribute materials for various internal and external meetings, including quarterly earnings calls.
  • Collaborate with the events planning team to organize and execute meetings and team events.
  • Process correspondence, reports, and presentations, including confidential information.
  • Manage site-related invoices and travel/expense reports, working closely with the Finance team.
  • Serve as the primary contact for the CIO.
  • Greet and assist employees, contractors, and visitors, ensuring excellent customer service.
  • Oversee visitor coordination and maintain an updated visitor log.
  • Organize on-site meetings and events, managing supplies, catering, and visitor registration.
  • Ensure audiovisual equipment in conference rooms functions properly, coordinating with IT support as needed.
  • Maintain an orderly and organized office environment, including stocking office and break areas.
  • Collaborate with IT to ensure all office equipment and internet services are operational.
  • Submit maintenance work orders as necessary for the office building.
  • Manage incoming and outgoing mail and deliveries.
  • Promote awareness of emergency, security, and safety policies within the office.

Qualifications

  • High School Diploma required; Bachelor's Degree preferred.
  • Minimum of 5 years of experience in executive-level administrative support.
  • At least 2 years of experience supporting a multi-person team is preferred.

Compensation And Benefits

  • Targeted hourly rate: \(33.50 to \)48.25, based on location, skills, experience, and other factors.
