The Executive Coordinator to the General Counsel (GC) is responsible for providing direct and comprehensive support at the highest level of the organization. They complete a broad variety of strategic projects and administrative tasks for the GC and exercise independent judgment and apply critical thinking skills to do so efficiently and effectively. They work globally and support organization-wide initiatives and priorities, frequently coordinating with Board of Directors, trustees, dignitaries, government officials, business and other executive leaders with discretion and the highest degree of professionalism. This is a remote position that will be required to work Eastern Standard Time working hours and will work closely with the GC who is located near TNC’s Arlington, VA office.

The Executive Coordinator to the General Counsel (GC) is responsible for providing direct project and administrative support to the General Counsel. As an integral member of the team supporting the GC, the Executive Coordinator will work closely with the GC, the Director of Finance Operations, and the Legal and Enterprise Risk Leadership teams to ensure the most strategic, efficient, and best use of the GC’s time through performing a variety of high-level strategic and administrative responsibilities.

The Executive Coordinator will be responsible for managing and leading small to large scale complex projects that are priorities for the GC and may span multiple departments or programs. They may assist with drafting communications and talking points for the GC as needed in keeping with the guidance and strategic communications plan developed by Internal and External Communications. They will interact regularly with staff at all levels of the Conservancy to identify challenges and propose solutions to the GC. They will lead or support diverse activities and their work will include situation analysis, interpretation of data, development of potential alternatives and the implementation of solutions to support the work of the GC. They will work towards meeting the strategic priorities of the GC by working closely with the GC to develop plans and to assist in implementing plans and day-to-day tasks. The Executive Coordinator will support the GC in critically assessing project scope and objectives to deliver successful results that support the fulfillment of the objectives. They will collaboratively solve complex problems and act as a resource to other staff throughout the Conservancy in interactions with the Office of the GC. They will develop and utilize a deep understanding of the operational, administrative and conservation initiatives and a clear understanding of how they work together to achieve the goals of the GC and the Conservancy.

The Executive Coordinator will strategically manage the GC’s schedule and calendar, including prioritization of tasks, coordination, and preparation of daily and weekly summaries for the GC’s attention. This requires proactive outreach to confirm meeting attendees, advance preparation for in-person meeting arrangements, and ensuring briefing materials are organized and available to the GC in a timely fashion. The Executive Coordinator will track and manage internal and external scheduling requests as advised. They also have a key role in executing against key GC priority engagements including donor trips, external events and speaking opportunities, board meetings and organizational commitments, including the organization of domestic and international travel, visa arrangements and detailed trip itineraries. They are responsible for adoption and upkeep of GC office systems including tracking action items and priorities. They will have excellent written and verbal communication skills as well as excellent attention to detail. They will proactively identify and collect information necessary for GC review and will provide substantive assistance in the preparation of written communication and presentations on behalf of the GC.

The position requires high levels of discretion and confidentiality, and as a key point of contact internally and externally for the Office of the GC, the Executive Coordinator will bring professionalism to all interactions as they work in close cooperation with executive leaders, senior managers, staff, trustees, board of directors, donors, and other high-level external contacts as well as customers, vendors, and business relations. They will manage diverse tasks, analyze situations, evaluate alternatives, and implement solutions to improve effectiveness. This position requires occasional travel, working long and flexible hours, as needed.

  • Bachelor’s degree and 7 years related experience or equivalent combination, including 5 years providing direct administrative support to an executive leader.
  • Experience managing and implementing multiple projects.
  • Experience using project management tools and/or software.
  • Experience with current technology in relevant field.
  • Experience working with a wide range of people, such as board of directors, donors, volunteers, and/or all levels of staff.
  • Experience working with cross-functional teams.
  • Ability to conceive and write creatively for various audiences.
  • Experience coordinating, scheduling, and managing a complex calendar of competing priorities
  • Experience with organizational and administrative skills and high attention to detail with an eye for catching grammatical errors.
  • Experience with organizing time, managing diverse activities, and meeting critical deadlines.
  • Ability to communicate clearly and directly.

SALARY INFORMATION

The starting pay range for a candidate selected for this position is generally within the range of $80,000-$125,000 for annual base salary. This range only applies to candidates whose country of employment is the USA. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges.
