Job description

Grants Accounting or Grants Reimbursement Specialist), you’ll manage grant budgets, ensure compliance with funder requirements, and collaborate with teams to keep programs running smoothly. What You Will Do: 
Reporting to the Senior Fiscal Manager, you will ensure accurate invoicing of funders for grant revenue reimbursement. You’ll collaborate with both internal and external stakeholders to manage multiple grants and contracts from federal, state and local funders.   You will develop detailed knowledge of each grant’s requirements.
Key responsibilities include:
  • Grant Invoicing.  Manage and administer the invoicing process, ensuring compliance with grant requirements and regulations. Research and validate program spending and purchase orders, and collect supporting documentation.
  • Financial Analysis.   Monitor and forecast grant budgets and spenddown.  Perform financial analysis, and ensure accurate allocation of expenses across several grants. Monitor subrecipients’ budgets and review invoices for accuracy.
  • Program Support.   Support program leaders and internal teams with financial and contract insights to inform decision-making.  Translate grant/contract requirements into actionable information for non-financial experts.  Provide proactive reporting, patient explanations, and reliable follow-through.
Who You Are:
The key qualifications for this position include the following.
  1. Prior experience in accounting, budgeting, or grants management.  Experience with multiple grants, forecasting expenses, and ensuring spending compliance.
  2. Knowledge of federal/state billing and reimbursement rules.  Strong understanding of reimbursable invoices and contract/grant requirements. Experience with DOJ and HHS-funded projects is a plus. 
  3. Proficiency in QuickBooks and MS Excel/ Google Sheets.  Skilled in building complex spreadsheets and using advanced formulas.
  4. Highly organized with a proven ability to plan, organize, execute and meet deadlines for multiple projects.
  5. Fast-paced, and ability to rapidly learn and adapt to changing circumstances.
  6. Strong personal initiative, reliability, and follow-through.  
  7. Strong interpersonal communication skills to build positive, collaborative working relationships.
  8. Excellent analytical skills and a keen eye for detail.
  9. Bachelor's degree, preferably in Accounting, Finance, or related field.

Working at Ruby’s Place
This is a full-time, 40 hours per week, salaried position, with one day per week required in our Castro Valley Oce.   Note:  Applicants must be located in the greater Bay Area.
