Responsibilities and more:

The Architect Executive Assistant will work closely with the Vice President to ensure smooth operations, manage client relationships, and assist with technical aspects of the business. This role requires a strong understanding of architectural plans, estimating hardware for window and door projects, and bilingual communication in both English and Spanish. The ideal candidate will be detail-oriented, proactive, and capable of managing multiple responsibilities in a fast-paced environment.

Key Responsibilities:
  • Provide executive-level administrative support to the Vice President.
  • Review and interpret architectural plans and specifications related to window and door installations.
  • Prepare estimates for various window and door hardware based on project needs.
  • Coordinate and follow up with clients, vendors, and suppliers to ensure projects remain on track.
  • Assist in project management tasks such as scheduling, tracking deadlines, and ensuring compliance with project specifications.
  • Prepare reports, presentations, and correspondence on behalf of the Vice President.
  • Organize and maintain files, documents, and records for easy access and retrieval.
  • Serve as a liaison between the Vice President and internal teams or external partners.
  • Conduct research and compile data as required to support business decisions.


Requirements
  • Bilingual in English and Spanish (spoken and written proficiency required).
  • Experience in reading and interpreting architectural plans.
  • Proven ability to estimate window and door hardware requirements for various projects.
  • 3+ years of administrative or executive assistant experience, ideally in construction, architecture, or a related field.
  • Excellent communication and organizational skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to handle confidential information with discretion.
  • Self-motivated and able to work independently with minimal supervision.
Preferred Qualifications:
  • Previous experience in the impact window and door industry or similar construction sectors.
  • Familiarity with project management software and estimating tools.
  • Strong attention to detail and ability to multitask in a deadline-driven environment.
