Job Overview:

We are seeking a highly organized and proactive Account Coordinator to oversee the administrative and client-facing aspects of our podcast production. This role focuses on managing client relationships, scheduling guest interviews, and ensuring smooth coordination across all stages of the podcast process, from recording to publishing. As the key liaison between clients, guests, and the production team, the Podcast Account Coordinator will ensure a seamless and efficient experience for all involved.

Key Responsibilities:

1. Client and Guest Communication: Act as the main point of contact for podcast clients and guests, providing exceptional service and ensuring a smooth experience.

2. Scheduling: Coordinate and schedule podcast interviews, ensuring timely booking of high-profile guests.

3. Administrative Support: Prepare and send necessary materials (briefs, questions, prep documents) to both clients and guests in advance of interviews.

4. Project Coordination: Oversee the workflow from recording through editing to publishing, ensuring that all parties are informed and deadlines are met.

5. Content Publishing: Upload finalized episodes to platforms like Podbean, Apple, Spotify, and client websites.

6. Social Media Coordination: Work with the marketing team to post episode content to LinkedIn and other platforms, ensuring visibility and engagement.

7. Reporting and Analytics: Compile monthly reports on podcast performance metrics and provide insights to clients.

Key Qualifications:

  • Direct agency experience managing day-to-day client coordination and communication (bonus if it's within a media/podcast production environment).

  • Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.

  • Excellent communication skills, both written and verbal, with a focus on client service.

  • Experience with project management tools (e.g., Trello, Slack) and podcast platforms (e.g., Podbean, Spotify).

  • Basic knowledge of podcast production and social media management is a plus but not required.

  • Ability to work independently in a remote environment while maintaining strong communication with the team.
