Events Meeting Planner - Stamford, CT

Position Overview

Under the direction of Global Leader, ISG Events, be responsible for operational execution of approximately 8-10 annual events. 

Responsibilities

  • Work closely with the Program Managers to define event needs
  • Research facilities and providers, including hotels, audio visual and ground transportation companies as requested. Draft and distribute RFPs as needed. Make recommendations based on needs and budget
  • Select appropriate vendors for each event and negotiate contracts for hotels, ground transportation, destination management companies, audio visual and other providers as required
  • Build and maintain good working relationships with meeting suppliers
  • Arrange for temporary personnel at events when necessary and instruct them as to their duties and supervise their performance
  • Monitor event budgets, updating forecasts as final estimates are received
  • Execution of final onsite logistics including: menu selection, detailed meeting specifications, accommodations for staff and speakers, audio visual equipment, signage, overseeing registration material preparation, on-site management, auditing and reconciling invoices, payment of provider bills
  • Prepare final expense budget for each assigned project as it relates to expenses incurred on site
  • Verify the accuracy of all meeting-related invoices and forward for review. Responsible for monthly accruals and re-accruals for each assigned project
  • Assist Global Leader, in the preparation of events budgets for the new fiscal year budget as it relates to expenses for all pertinent site costs
  • Participate in post-event evaluation and follow-up on identified improvement needs
  • Report regularly to Global Leader, ISG Events on program status, developments and opportunities

Required Skillsets

  • This position is located in Stamford, CT and required to report to the Stamford office daily
  • Willingness and ability to travel
  • 3-5 years meeting planning or hotel experience
  • Proficient in Word, Excel and PowerPoint
  • Comfortable dealing with senior level executives
  • Keeps abreast of new industry trends
  • Flexible, creative and a problem solver
  • Exceptional organizational skills and attention to detail
  • Strong ability to negotiate contract terms/conditions
  • Advanced multi-tasking abilities. Ability to work on multiple projects in varying stages of development in the same time frame and with minimal supervision
  • Superior prioritizing and time management skills, and the ability to meet deadlines consistently
  • Self-starter with high motivation and initiative, and excellent problem-solving skills

Education

  • Bachelor's Degree
