Description

Position Summary
We are looking for an experienced account payable specialist that can provide financial, administrative, and clerical support to the organization. Their role is to complete payments and control expenses by receiving payments, plus processing, verifying and reconciling invoices. The ideal candidate must manage administrative tasks plus the day-to-day management of all payment cycle activities in a timely and efficient manner.


Essential Duties and Responsibilities include the following. Other duties may be assigned.
• Keeping track of all payments and expenditures, including payroll, purchase
• orders, invoices, statements, etc.
• Reconciling processed work by verifying entries and comparing system
• reports to balances.
• Maintain fluid communication with strategic partners (banks and vendors).
• Paying employees by verifying expense reports and preparing pay checks.
• Paying vendors by scheduling pay checks and ensuring payment is received for outstanding credit; generally responding to all vendor inquiries regarding finance.
• Preparing analyses of accounts and producing daily, weekly and monthly reports.
• Forecasting of cashflow and manage line of credits.
• Collaborate with other departments to provide documentation, back-up reports and others that are related to day-to-day operations and have an impact on the financial results of the company.
• Continuing to improve the payment process Cross-departmental collaboration to improve communication and business performance.
• Comfortable, steel toe or composite closed-toe shoes are required, and protective safety footwear are required in select business units.
• Must be able to meet predictable attendance and punctuality expectations and physical demands of the position complying with Ethnix Group’s policies and performance expectations.


Organizational Responsibilities:

  • Follows established policies and procedures by monitoring and ensuring compliance with regulatory requirements, organizational standards, and operational processes related to area(s) of responsibility and reporting violations or infractions to appropriate individual(s).
  • Practices proper safety techniques in accordance with Company, warehouse, and departmental policies, procedures, and standards by immediately reporting any mechanical or electrical equipment malfunctions, employee/visitor injuries or accidents, or other safety issues to appropriate individual(s).
  • Identifies areas for improvement and offers suggestions to improve the site's efficiency, profitability, and productivity.
  • Keeps abreast of current changes in technology, logistics tools, processes, and standards within the industry and area(s) of responsibility by attending internal and external training programs and by accessing other sources of information, and applies knowledge and practices to area(s) of responsibility.

Work Hours (may vary by state or location):
This position is scheduled for 40 hours in a regular work week. Hours of operation vary by site and shift. Must be available to work on weekends when scheduled and must be able to perform the essential job functions unaccompanied.

Education/Experience:
Employment history that demonstrates the application and usage of data entry, booking and accounting knowledge and skills. Bachelor’s degree in finance, economics, business or accounting is required. Two or more years of relevant experience in the field required.
Language Ability:
Demonstrated ability to read, write, and communicate effectively to comprehend and complete legal documents, and answer questions in English. Ability to write routine reports and correspondence. Bilingual in Spanish preferred.
Math Ability:
Demonstrated mathematical skills necessary to add, subtract, multiply, and divide numbers, decimals, and fractions, and calculate percentages.
Reasoning Ability:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills:
Demonstrated proficiency in word processing, warehouse management software (Word, Excel, Microsoft TEAMS, SAP, WMS, Bank Payment platforms/software) spreadsheet management programs in order to complete required reports and employment documents. Proficiency and fluency in using the internet and navigating the internet and websites.
Certificates and Licenses:
Current valid driver’s license is not required.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, scanners, fax machines, and filing cabinets.
Some offices may be located within the warehouse. Incumbents that work in the unconditioned warehouse environment temperature may vary in some parts of the warehouse (cooler/freezer), but also have frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant and/or hazardous. You’ll be working around moving machines – order pickers, stand-up forklifts, turret trucks, and mobile carts. Depending on the weather, temperatures can be over 90°F in the truck yard or inside trailers.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Routine, local travel may be required to attend training classes, conduct market research, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.
