Job description

Job Overview

We are searching for a detail-oriented and proactive Financial Services Administrative Assistant to support a financial advisor in a remote setting. This part-time, contract (1099) position offers the opportunity to utilize your skills with the Redtail CRM system and your knowledge of the LPL Financial network to deliver outstanding administrative support.

Compensation And Benefits

  • Pay: $25-35 per hour
  • Flexible part-time hours: 10-15 hours per week

Key Responsibilities

  • Redtail CRM Administration:
    • Develop and maintain workflows, activity and email templates, and automations to boost productivity.
    • Keep calendar tasks and activities current, preventing any delays.
    • Perform regular workflow and data upkeep, refining existing processes for enhanced efficiency.
    • Ensure contact accuracy and manage client communication through blast emails.
  • Client Services:
    • Facilitate client scheduling, particularly during peak months.
    • Provide timely follow-up communications with clients and team members.
    • Handle client calls and inquiries with a professional demeanor.
    • Process payments through AdvicePay and manage client interactions via MyRepChat.
    • Administer account activities, including new account openings.
  • Compliance:
    • Submit and follow up on marketing materials and other necessary documentation for approval.
    • Maintain compliance by managing monthly correspondence and overseeing CRS forms.
    • Ensure that ADV documents are current and included in client onboarding packets.
  • Administrative Support:
    • Effectively manage calendar and appointment scheduling.
    • Organize and participate in team calls and client meetings.
    • Assist with email campaigns, tracking the effectiveness of marketing initiatives.
    • Manage LinkedIn activities, including posts and invitations.
Required Skills

  • Membership in the LPL Financial network and experience with the ClientWorks platform are necessary.
  • A minimum of 2 years in a comparable administrative role is required.
  • Proficiency in Redtail CRM is a must.
  • Exceptional organizational skills and the ability to manage multiple tasks concurrently.
  • Prior experience in client service, compliance, and administrative support is essential.
  • Familiarity with terminology and practices within the financial services sector.
  • Capability to work independently and communicate effectively with both team members and clients.
