Job Overview

We are in search of a dynamic and detail-oriented Front Desk Administrator to join our team in a remote capacity. This position serves as the virtual face of our organization, where you will engage with patients, streamline office operations, and facilitate service coordination. Your professionalism and organizational skills will contribute significantly to the seamless delivery of services.

Key Responsibilities

  • Welcome patients in a virtual environment, collecting relevant information and guiding them to the appropriate team member.
  • Serve as the initial point of contact for patients and healthcare professionals, managing communication through phone and video calls.
  • Administer incoming calls, providing assistance or routing inquiries to the correct personnel.
  • Maintain detailed logs of calls needing follow-up and alert relevant departments during emergencies.
  • Execute routine clerical responsibilities such as processing emails, sending faxes, and maintaining operational logs.
  • Collaboratively manage the tracking of detox assessments, daily sessions, follow-up appointments, and intake referral sheets.
  • Verify insurance, referral sources, and treatment schedules.
  • Schedule and confirm appointments using our electronic medical record (EMR) system, while collecting and processing deductibles and co-pays in coordination with the Billing department.
  • Oversee patient transportation requests and monitor related systems.
  • Conduct bi-monthly eligibility verifications for Medicaid clients and track weekly attendance records.
  • Ensure timely requisition of blood work and urine toxicology, notifying clinical staff of any outstanding matters.
  • Engage in meetings to enhance your professional knowledge and skills.
  • Implement office opening protocols and maintain consistent attendance.
  • Foster a positive workplace atmosphere and promote the organization's image.
  • Ensure continuous front desk coverage by coordinating breaks and lunches.
  • Assist the Billing department with verification of authorizations for clients in IOP and Detox.
  • Record all intakes for outpatient, IOP, and detox services daily through internal systems.
  • Complete additional tasks as assigned by management.

Qualifications

  • Prior experience in a front desk or administrative role is preferred.
  • Proven capability in managing patient interactions proficiently.
  • Strong written and verbal communication skills.
  • Ability to thrive in a remote work setting with minimal supervision.
  • High School Diploma or equivalent is required; an Associate’s degree in a related field is preferred.
