Summary of Major Responsibilities

This position is responsible for working with field medical leaders to provide the Field Medical Affairs organization timely, advanced administrative, and logistical support for operational activities; including, but not limited to, project management, insights collection and dissemination, and meeting coordination for various internal and external programs within the Field Medical Affairs department. The Medical Affairs Operations Coordinator also supports processes for quarterly departmental operational tracking and reporting needs, summarizing key metrics involving medical presentations, educational programs, key opinion leader engagements, and other Field Medical Affairs activities.  

Essential Duties and Responsibilities

include but are not limited to the following:

  • Provide primary administrative support to Field Medical Affairs leadership.  
  • Aid in developing and improving operational processes to increase efficiency and effectiveness to scale.
  • Support tracking and reporting of all Field Medical Affairs field activities; including, but not limited to, presentation delivery, key opinion leader meetings, conference attendances, investigator meetings, KOL insights, and field engagement impact.
  • Provide congress support, including formatting and finalizing activity and impact reports.
  • Prepare overview of medical affairs activities to relevant internal teams.
  • Prepare and organize materials for meetings, presentations, and conferences. Manage communications on behalf of the Field Medical Leadership.
  • Analyze and disseminate scientific and medical based insights and create disease or topic specific reports and dashboards (via data visualization platforms) based on strategy and needs.
  • Collaborate closely with cross-functional teams to ensure alignment on deliverables.
  • Support implementation of new team initiatives, and partner closely with cross-functional stakeholders to develop new resources, processes, and playbooks to support OKRs and messaging.
  • Strategic development and operational execution of programs including management of timelines and budgets, establishing new processes for operational efficiencies, document management, contract oversight and vendor support.
  • Develop and maintain relationships with key partners and stakeholders. Facilitate seamless communication and coordination between the Medical Leadership and other departments, promoting a culture of collaboration and information sharing
  • Manage the cadence and preparation for field medical virtual and/or in person meetings, ensure pre-reads and materials are sent in advance.
  • Uphold company mission and values through accountability, innovation, integrity, quality, and teamwork.
  • Support and comply with the company’s Quality Management System policies and procedures.
  • Regular and reliable attendance.
  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 90% of a typical working day.

Minimum Qualifications

  • Must be highly motivated and have a strong passion for healthcare.
  • Must be available to work full-time for up to (10) consecutive weeks beginning in May or June of 2025
  • Must have excellent written and verbal communication skills, with effective presentation skills.
  • Ability to interface and work effectively within team and department with changing priorities.
  • Analytical, problem solving, and decision-making skills.
  • Exceptional organization and time-management skills.

Education/Experience Requirements

  • Must be currently pursuing a graduate degree in Pharmacy, Medicine (MD/DO or other APP degree), Genetics/Genetic Counseling, project management, or another related field.

Travel Requirements

  • Mainly remote, with up to 20% travel for meetings, congresses, and/or field rides

Salary Range:

$34,000.00 - $54,000.00

 

The annual base salary shown is a national range for this position on a full-time basis, and may differ based on the hiring location.
