Job Overview

We are seeking a dedicated and detail-oriented Administrative Assistant to provide essential support to our Talent Acquisition and Security teams. This integral position is designed to facilitate the smooth functioning of our corporate operations, enabling a significant contribution to our organization. Key Responsibilities

  • Manage and coordinate multiple schedules, calendars, and shared emails while effectively utilizing various Microsoft systems to assist team members.
  • Organize meetings, interviews, and liaise with all corporate team members and management regarding service delivery.
  • Provide basic technical support for corporate systems with guidance from the IT department.
  • Monitor and address Help Desk tickets relevant to the Recruiting and Security teams.
  • Construct and input data for job descriptions, requisitions, and workflows within the Applicant Tracking System (ATS).
  • Assist with various administrative tasks related to other Talent Acquisition and Security platforms.
  • Produce reports on a weekly, monthly, quarterly, and annual basis for managers and directors.
  • Document meeting minutes and prepare written summaries of discussions as needed.
  • Address and resolve administrative inquiries.
  • Prepare agendas and schedules for meetings.
  • Undertake customary administrative duties, including support for ad-hoc projects.
  • Assist in planning and organizing employee appreciation activities.
  • Maintain document repositories and organization as requested.
  • Carry out other assigned administrative tasks.

Required Skills

  • A minimum of 3 years’ experience in administrative support or office management.
  • Proven ability to engage effectively with all levels of management.
  • Excellent written and verbal communication skills.
  • Strong attention to detail coupled with exceptional organizational capabilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with travel platforms.
  • Ability to handle confidential information with discretion.
  • Proactive mindset and adaptability to changing priorities.
  • Availability to work core hours from Monday to Friday, 9 AM to 5 PM EST.
  • Must be a U.S. citizen and able to work EST hours.

Qualifications

  • A high school diploma is required, while a bachelor’s degree is preferred.
  • Advanced training in Microsoft Office Suite, particularly Excel and PowerPoint, is advantageous.
  • Experience in supporting government contracting companies or clients is preferred.
  • Basic IT support experience, including troubleshooting common technical issues, is a plus.
  • Familiarity with recruiting teams or hiring processes is beneficial.
  • Knowledge of suitability or clearance processes is an advantage.
