Job description

Job Overview

We are seeking a dedicated Talent Operations Coordinator to join our vibrant team of event professionals at a premier pop-culture event production company. This fully remote position plays a crucial role in orchestrating celebrity appearances at various events throughout North America, providing an exciting opportunity to work within the entertainment industry.

Key Responsibilities

  • Act as the primary liaison for talent agents.
  • Collect and oversee travel arrangements for 15-100 guests per event, while negotiating flight options and adhering to budgetary guidelines.
  • Compile guest operational requirements, including onsite support needs, ADA considerations, and dietary restrictions.
  • Coordinate all travel bookings in collaboration with our travel agency partner.
  • Develop and manage reimbursement processes and hotel room blocks, ensuring optimal promotional rates and complimentary amenities.
  • Maintain accurate tracking of flight and hotel details using our event management software.
  • Create detailed travel and event itineraries for each guest.
  • Collaborate with the Transportation Manager to meet ground transportation needs.
  • Communicate any changes or non-contracted requests to the Talent Operations Manager.
  • Prepare badge lists and welcome packages for talent agencies.
  • Ensure the successful execution of all guest operational requirements on-site.
  • Attend up to 11 events annually, providing on-site support to guests and travelers.
  • Assist the lead Talent Operations Coordinator at other shows as needed.
  • Resolve any last-minute travel issues in coordination with our travel agency partner.

Required Skills

  • A collaborative team player with a passion for multitasking.
  • Strong enthusiasm for pop culture paired with a keen attention to detail.
  • Proficient in Microsoft Office applications.
  • Experience in travel agency operations and hotel room block management is advantageous.
  • Valid passport and willingness to travel across North America.

Qualifications

  • Previous experience in event coordination is highly desirable.
  • Must be available for evening and weekend work during event dates.

Compensation And Benefits

The salary range for this position is \(40,000 - \)50,000, commensurate with experience.
