This is a remote position.

Job Title: Admin Assistant

Work Schedule: Monday to Friday 9:00am to 6:00pm Brisbane Time with 1 hour unpaid lunch break

Job Overview
As our Admin Assistant, you will manage customer inquiries, technician scheduling, and administrative tasks. This role is ideal for a detail-oriented, tech-savvy individual who wants to make a meaningful impact in our industry.

Key Responsibilities

Customer Service and Communication

  • Manage customer interactions via phone, email, and online platforms
  • Handle emergency calls calmly and efficiently
  • Book and manage regular appointments (quarterly, 6-monthly, annual)
  • Use ServiceM8 for client information management

Scheduling and Job Management

  • Optimize technician schedules using ServiceM8 and Google Maps
  • Match jobs to appropriate technicians
  • Handle appointment changes and cancellations
  • Conduct job audits to ensure accuracy in ServiceM8

Quote and Invoice Management

  • Prepare and send quotes, apply discounts where applicable
  • Follow up on outstanding quotes
  • Generate invoices and follow up on overdue payments

Financial Tasks

  • Assist with bookkeeping and financial record-keeping
  • Process payments and manage accounts receivable

Process Documentation and Improvement

  • Create and maintain SOPs for administrative tasks
  • Identify inefficiencies and suggest improvements
  • Manage seasonal workload fluctuations

Marketing Support

  • Manage social media presence and schedule posts
  • Assist with content creation using AI tools
  • Support SEO and website maintenance

Seasonal Workload Management

  • Proactively manage workloads during slower periods (e.g., June and July)
  • Balance pest control and bird control services during off-peak seasons


Requirements

Requirements

  • Excellent written and verbal communication skills in English
  • Proficient in job management software, preferably ServiceM8 (or ability to learn)
  • Experience with Google Maps for route optimization
  • Strong organizational skills and attention to detail
  • Problem-solving and proactive approach to tasks
  • Basic understanding of social media management and content creation
  • Familiarity with bookkeeping principles and invoice management
  • Ability to work independently and cover Australian business hours
  • Cultural sensitivity and understanding of Australian business practices
  • Male candidates preferred due to industry dynamics
