Job Description

As an Executive Assistant, you’ll play a crucial role in supporting the CEO of a fast-paced, global asset management firm. This position demands a tech-savvy professional adept at managing complex schedules, coordinating across time zones, and leveraging cutting-edge AI tools. You’ll be the linchpin in streamlining operations, handling high-level communications, and ensuring smooth day-to-day functioning of the executive office. This role offers an exciting opportunity to immerse yourself in the world of international finance and investment, working directly with senior leadership to drive efficiency and support strategic initiatives.

Responsibilities
  • Manage intricate calendars and coordinate meetings across global time zones
  • Handle executive-level email correspondence and follow up on critical tasks
  • Process and organize documents using Google Drive and other cloud-based tools
  • Utilize AI tools like ChatGPT and Gemini to enhance productivity and task completion
  • Assist in developing and maintaining CRM databases for client management
  • Participate in and occasionally lead video calls, representing the company professionally
  • Curate and manage content for LinkedIn and other professional social media channels
  • Implement project management tools like Notion or Kanban boards to track tasks and projects
  • Support meeting management, including transcription and minutes, potentially using AI assistance
  • Collaborate with the chief of staff on various strategic initiatives
Requirements
  • Proven track record as an Executive Assistant, preferably in finance or investment sectors
  • Advanced proficiency in Google Suite and familiarity with project management tools
  • Exceptional organizational skills with a talent for prioritization and follow-through
  • Outstanding written and verbal communication skills in English
  • Self-starter with ability to work independently and juggle multiple high-priority tasks
  • Comfortable with video calls and professional representation of the company
  • Quick learner, adaptable to new technologies and tools
  • High level of discretion in handling sensitive business information
