Job description

 
 

Frost Brown Todd LLP, a national firm with 1000+ legal and business professionals in seventeen markets, is currently searching for a Billing Assistant to join our firm. This position supports attorneys, business professionals, and clients with billing and accounts receivable inquiries, as well as other special requests related to timely and efficient billing and collections from Firm clients.

Key Responsibilities: 

  • Recognize that service to clients (both internal and external) is the Firm's number one priority.
  • Manage the prebill to final bill process by preparing and distributing prebills monthly, ensuring accurate prebills are received and returned promptly, assisting with time and expense transfers and narrative edits, editing hours and dollars, splitting or adding time entries, and writing off time and disbursements.
  • Edit bills in Microsoft Word as necessary.
  • Provide attorneys with information, including preparation of bill/payment histories, locating and mailing bill copies, and offering explanations or backup copies for expense charges.
  • Resolve basic discrepancies and e-billing submission rejections and errors as needed.
  • Notate and utilize ARCS for all e-billing activities, rate approvals, write-off approvals, and reversal requests.
  • Create and revise basic spreadsheet reports.
  • Assist with mailing and emailing bills and statements monthly, and mail correspondence to clients to encourage payment of delinquent accounts.
  • Work with the E-billing Team to ensure data is provided as needed for successful submission.
  • Resolve client billing problems and address accounts receivable delinquency, applying good customer service in a timely manner.
  • Identify issues contributing to billing slowness and account delinquency, and alert the manager when escalation is necessary.
  • Follow up on payment arrangements with attorneys, legal practice assistants, and/or the Senior Credit & Collections Specialist.
  • Communicate regularly with attorneys, LPAs, and the Senior Credit & Collections Specialist regarding efforts and the status of past due accounts.
  • Enter data that feeds from the New File Opening queue.
  • Assist with the client accounting email group.

Job Requirements:

  • College degree or commensurate experience with high school diploma.
  • 3+ years of legal billing experience required.
  • Interpersonal skills necessary to maintain effective relationships with attorneys and other business professionals.
  • Must have attention to detail with an eye for accuracy.
  • Ability to effectively present information in one-on-one and small group situations to clients, attorneys, and other business professionals.
  • Knowledge of Aderant Software a plus.
  • Proficiency in Microsoft Office products such as Word, Excel, Outlook.
