Job description

About the role 

  • Team Global Express is seeking a Maintenance Administration Officer to join our Fleet Maintenance Team on Brisbane’s Southside!
  • This is a Full time, Permanent role
  • Provide administrative support to our workshops across the country including raising purchase orders to vendors and maintaining compliance standards and documentation
  • Receive invoices from vendors, and create purchase orders accordingly
  • Interpret invoices accurately and efficiently 
  • Allocating cost codes to orders 
  • Work closely with Schedulers to ensure 3rd party work is booked in promptly and accurately
  • Word processing and data entry, and ensuring all records are kept and well documented
  • Processing of workshop labour onto work orders, and accounting for daily, weekly and monthly business deadline and data submissions
  • Ensuring all major expenditure is approved before purchase
  • Processing administrative tasks for 3rd party maintenance, and using our inhouse systems to capture vehicle maintenance data accurately.
  • Processing of service tasks and receipting into UNIBIS systems
  • Receipting of orders into Unibis system of 3rd party maintenance, inventory and other type orders
  • Reporting and Investigating Safety Incidents and Near Misses as they occur

 

What you’ll bring  

  • A high attention to detail
  • Must have previous experience interpreting invoices and creating purchase orders
  • Experience in the automotive, transport or heavy vehicle space is ideal (not mandatory) 
  • Strong organisation skills
  • The ability to prioritise tasks efficiently and effectively
  • A strong attention to safety
  • Data Entry Skills
