Job Summary

The New Business Coordinator will serve as the primary contact for new retirement plans onboarding to our Retirement Plan Services platform. This role plays a key part in ensuring a seamless transition for new clients by collaborating closely with various internal departments. The successful candidate will manage the end-to-end setup process, from initial onboarding through final plan activation, ensuring high customer satisfaction and smooth plan implementation. This role requires strong organizational, communication, and problem-solving skills to handle multiple plans simultaneously and foster strong relationships with advisors, plan sponsors, and internal stakeholders.

Primary Responsibilities:

  • Oversee the onboarding and setup of 35-45 new retirement plan sales, varying in size and complexity.

  • Manage the complete process for both new startups and plan transfers from initial setup to completion.

  • Act as the single point of contact for advisors and plan sponsors, ensuring clear and effective communication throughout the onboarding process.

  • Schedule and coordinate the plan transfer, ensuring all milestones are met on time.

  • Provide training to plan sponsors on submitting payroll contributions and system navigation.

  • Assist plan sponsors with plan design, setup questions, and compliance-related concerns.

  • Oversee the accurate setup of plans in PensionPro, including plan documents, enrollments, and other required details.

  • Deliver high-quality customer service to enhance client satisfaction and build strong, trusted relationships.

  • Work collaboratively with multiple internal departments to ensure a smooth implementation and transition process.

  • Identify opportunities for improving product delivery, plan implementation, and customer experience, and provide actionable recommendations.

Primary Skills & Requirements:

  • Proficiency in Microsoft Office and Windows; advanced computer skills are essential.

  • Strong organizational abilities with an exceptional eye for detail.

  • Ability to handle multiple projects and meet tight deadlines in a fast-paced environment.

  • Self-motivated with a strong capacity for managing various types of retirement plans.

  • Thorough understanding of procedural guidelines with the ability to follow through efficiently.

  • Exceptional customer relationship management and interpersonal skills.

  • Excellent written and verbal communication abilities.

  • Strong analytical skills with the ability to troubleshoot and solve advanced problems.

  • Demonstrates sound judgment and decision-making skills.
