Job Title: Executive Personal Assistant (Remote)

Job Overview

We are in search of an exceptional and solutions-focused Executive Personal Assistant to provide strategic support to a distinguished Executive who divides their time between San Diego and Scottsdale. This remote position presents an outstanding opportunity for you to broaden your professional skill set while making a substantial impact across diverse business domains, such as real estate, marketing, and restaurant management.

Key Responsibilities

  • Project Management:
    • Oversee and update project progress using tools like Asana, including tracking timelines, budgets, and essential communications.
    • Regularly collaborate with business leadership to ensure the accuracy of project notes and timelines.
  • Calendar & Email Management:
    • Manage a multifaceted calendar, coordinating meetings, events, personal appointments, travel, and other business obligations.
    • Efficiently handle email correspondence.
  • Vendor Communications:
    • Serve as a liaison with vendors on real estate projects (contractors, designers, brand partners, etc.) and assist with renovation initiatives as needed.
  • Administrative Support:
    • Collaborate with internal teams within HR, Legal, and Accounting on various administrative tasks.
  • Event Planning & Travel Coordination:
    • Organize events and manage complex travel schedules for the Executive and hosted guests, ensuring seamless experiences.
  • House Management:
    • Oversee maintenance, housekeeping, deliveries, and personal errands.
Required Skills

  • Strong project management abilities, ideally with experience in Asana.
  • Proven experience in travel booking, including international flights, accommodations, dining, and itinerary creation.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency in G Suite applications (Calendar, Gmail, Docs, Sheets, etc.).
  • Capability to manage multiple priorities effectively, with strong multi-tasking and follow-up skills.
  • Excellent verbal and written communication skills.
  • Adaptability, problem-solving skills, and the ability to work autonomously.

Qualifications

  • Bachelor’s degree with prior experience as an Executive or Personal Assistant.
  • Demonstrated ability to work effectively in a remote environment and availability for monthly onsite meetings.
  • Willingness to travel occasionally to support domestic and international business activities (passport required).

Compensation And Benefits
