Job Title: Executive Assistant to CEO

Schedule: Monday to Friday, 9:00 AM to 1 PM Houston, TX Time

Job Summary:

We are seeking an organized, proactive, and adaptable Executive Assistant to support the CEO in managing daily tasks and business operations. The ideal candidate will have strong executive assistance experience, manage multiple projects, and ensure smooth communication between the CEO, internal teams, and external stakeholders. This role will involve a mix of calendar management, project coordination, administrative support, and client liaison activities. Familiarity with the healthcare or ABA therapy industry is a plus.

Key Responsibilities:
  1. Calendar Management:

    • Schedule, prioritize, and organize meetings with internal and external stakeholders.
    • Optimize the CEO’s calendar for maximum efficiency and strategic decision-making.
  2. Email & Communication Management:

    • Monitor and respond to emails on behalf of the CEO, ensuring timely follow-up.
    • Draft communications and facilitate clear communication between the CEO and others.
  3. Task & Project Coordination:

    • Manage and coordinate multiple projects simultaneously, including business expansion and daily operations.
    • Assist the CEO in leadership decision-making and strategic initiatives.
  4. Document Preparation & Research:

    • Create presentations, reports, research summaries, and other business documents.
    • Assist with drafting policies and supporting documents for internal and external use.
  5. Administrative Support:

    • Handle data entry, file organization, and general administrative tasks.
    • Support the company’s operations by organizing and prioritizing critical issues.
  6. Client & Employee Liaison:

    • Act as the point of contact between the CEO, clients, and employees.
    • Address concerns and ensure effective communication across all parties.
  7. Travel Arrangements:

    • Coordinate personal and business travel, ensuring logistics and schedules are well-organized.
  8. Special Projects:

    • Assist with company-related initiatives, such as research projects, grant writing, and business growth strategies.
  9. Confidentiality:

    • Handle sensitive information with discretion and maintain confidentiality.
Requirements:
  • Proven experience in executive assistance or similar administrative roles
  • Excellent organizational and time management skills
  • Strong proficiency in Google Workspace (Docs, Sheets, Calendar) and project management tools
  • Ability to work independently, remotely, and manage competing priorities
  • Exceptional written and verbal communication skills in English
  • Adaptability and willingness to learn new processes and tools
  • High attention to detail and accuracy
Preferred Qualifications(Not required):
  • Previous experience supporting a CEO or C-level executive
  • Familiarity with healthcare or ABA therapy industries
  • Experience with small business operations, particularly in fast-paced environments
  • Background in applied behavior analysis (ABA) or related fields
