Apex’s Procurement team is responsible for keeping inventory in stock and flowing. The role of our Supply Chain & Procurement Specialist is to handle the day-to-day movement of purchase orders and container logistics between our suppliers and Apex’s 3PL. This is a new position - adding a specialist to the team will allow our Vendor Manager and Procurement Manager to turn their focus to strategic battles. 

Because you’ll be handling purchase orders, the lifeblood of our business, you must be passionate about getting things done right the first time - double-checking your work and the work of others for quality and accuracy should be part of your routine. 

We’re not looking for someone to simply enter data - we want someone who will question data that doesn’t look right and will raise alarm bells early if something isn’t going to plan. You should be comfortable asking questions, validating information for accuracy, and keeping tasks on track and on time. We’re looking for someone whose exceptional attention to detail will give the team confidence that our i’s are dotted and t’s are crossed. If you’ve never touched a purchase order over $100k, this position may not be for you.

Responsibilities:

  • Provide supply chain support to our procurement team. You’ll be responsible for tracking containers in every phase of delivery - from confirming shipping documents when the container ships from our vendor, to when it arrives and is unloaded at our 3PL warehouse. This will include the state of Marketing and Production samples, processing vendor invoices, creating UPS and other shipping labels and assets, and assisting with container logistics such as tracking updates. Over time, you’ll be responsible for managing and coordinating weekly container bookings while taking cash flow and 3PL bandwidth into consideration. Monitor inventory levels of product boxes, center caps, and other shipping materials with our suppliers and raise the alarm when inventory is below the acceptable threshold.
  • Provide procurement support to our procurement team.  You’ll create and submit purchase orders, obtain order acknowledgments, confirm accuracy, validate payments, and everything in between. You’ll be responsible for tracking purchase orders in each phase of its journey - from submission to receipt.  You’ll review and process purchase orders, and ensure compliance with purchase terms. Verify and reconcile discrepancies in purchase orders and requisitions.  Maintain and access records such as invoices, purchase orders, and bidding contracts. Work within our 3PL’s WMS to ensure up to date and accurate information about incoming POs.
  • Support Project Management by creating, updating, and closing tasks in our Project Management tool (ClickUp). Coordinate with other department project managers by providing status updates on samples. When new projects are launched, you’ll be responsible for creating the project framework for our larger team to work from.
  • Support scaling the team.  As our team and company grows, we’ll look for your support in actively improving and streamlining processes, creating efficiencies in your everyday workflows and in workflows that connect with other teams. We’ll also look to you for building and updating reports for consumption by our cross-functional teams.  You will also handle one-off tasks like the creation of box labels for new products and fitments and other supportive tasks as needed.

Requirements

  • Exceptional attention to detail, organizational skills, and a proactive approach.
  • An associate’s or greater degree in logistics, supply chain, or another relevant area is preferred. High school diploma or equivalent is required. 
  • 3+ years of work experience in logistics or supply chain coordination.
  • 3+ years of experience using ERP systems (Netsuite preferred).
  • 1+ years of experience using Project Management software (ClickUp preferred).
  • Experience with Microsoft Office or Google Suite.
  • Excellent verbal and written communication skills.
  • Intermediate or greater knowledge in spreadsheet applications like Sheets/Numbers/Excel, which includes using formulas, identifying errors in formulas and general data processing.
