Job Requirements:

  • Min 3 years proven Experience as an Executive Assistant or similar role in a fast-paced environment. 
  • Proficiency in Canopy Practice Management Software is required. Strong organizational and time-management skills with a proven ability to multitask. 
  • Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools. 
  • Ability to work independently and take initiative in managing tasks and projects.

Core responsibilities:

  • Executive Support: Manage calendars, schedule meetings, and coordinate travel arrangements for executives. 
  • Communication: Serve as the primary point of contact for internal and external communications on behalf of senior management. 
  • Client Coordination: Assist with client management, onboarding, and follow-ups using Canopy software. 
  • Document Management: Organize, maintain, and track important documents and files, ensuring compliance with company protocols. 
  • Task & Workflow Management: Use Canopy software to manage workflows, track tasks, and ensure timely project completion. 
  • Meeting Preparation: Prepare agendas, materials, and minutes for meetings, ensuring executives are well-prepared for upcoming engagements.
  • Reporting: Generate and review reports for management using Canopy and other related software platforms. 
  • Operational Assistance: Assist in maintaining day-to-day operations and coordinating various administrative tasks to ensure smooth office functioning. 
  • Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
