Work Schedule: 40 hours per week, Monday to Friday, 8:00AM – 5:00PM Mountain Standard Time

About the Company

Role Overview

As an Executive Assistant, you will provide high-level support to the CEO while taking on critical operational and project management responsibilities. Your role will include managing the CEO’s schedule, generating and following up on leads, overseeing backend operations, and supporting strategic initiatives. As a liaison to the team, you will offer support through different channels to systemize workflows. You'll also handle external communications, market research, and the preparation of key reports to facilitate decision-making.

Key Responsibilities

1. Executive Support

  • Manage complex scheduling for the CEO using Outlook, coordinating meetings with internal teams, investors, and external partners, and arranging travel itineraries.
  • Oversee the CEO’s inbox using Outlook, drafting/editing correspondence and reports, and ensuring efficient communication flow.

2. Project Management Support

  • Track milestones with the use of Microsoft Planner or the likes and following up on action items

3. Operations Management

  • Oversee backend administrative tasks, event coordination, and document preparation.
  • Handle expense reports, office management tasks, and onboarding new team members
  • Managing Teams channels and utilizing Power Automate to streamline workflows.

Requirements

Must-Have:

  • At least 2 years experience as an Executive Assistant, Project Manager, or similar role with solid experience managing projects in a startup environment
  • Strong proficiency with Office 365 tools (Outlook, Word, Excel, PowerPoint, Teams, SharePoint, OneDrive).
  • Passion for healthcare, AI, and innovation
  • Strong attention to detail and accuracy
  • Excellent communication and interpersonal skills

Nice-to-Have:

  • Experience working with remote teams
  • Tech-savvy, with experience handling Slack, Zoom, Microsoft Planner
  • Involvement with sales
