  • Experience in customer service or a business-related field working with Project Developers, Builders, Solicitors, Mortgage Planners, Strategists, and other stakeholders
  • Above average desktop computer skills in Google Sheets, Word, PowerPoint, and Gmail preferred.

About the Role

 
As a Settlement Administrator for Freedom Property Investors, you will oversee the process of introduction to Property Management and third-party inspection from Settlement to Post Settlement.


Key Responsibilities:
  • Communicate with the builder/developer regarding the point of contact for the inspection of a 1-part contract project.
  • Send out an introduction to Property Management and Third-Party Inspectors 45 days before the Developer’s Estimated Settlement Date
  • Populate the Property Management and Third-Party Inspector spreadsheets with the deal, lot number, address, member’s contact information, and other necessary information.
  • Update HubSpot and create HubSpot notes and tasks.
  • Monitor the service agreement forms sent to the members.
  • Monitor Fallen Through Deals 
  • Monitor and upload the defect inspection report provided by the Third-Party Inspector.
  • Populate the date of the inspection report, inspection provider, and tax depreciation schedule in HubSpot.
  • Engage with Accounts Team in Tax Depreciation Reimbursement of members, upon request.
  • Provide settlement dates for Property Management and Third-Party Inspector.
  • Communicate with Property Management regarding the Handover Date of each deal.
  • Update and move the Stage for deals that are Handed over to Property Managers
  • ​​​​​Provide Construction Updates to members.
 

Duties and responsibilities:

  • PRIOR SETTLEMENT: Send out Introduction Emails to Property Management and Third-Party Inspectors 45 days before DESD
    • Check-in Matrix
    • Email the developer/builder regarding the contact person for the inspection
    • Populate a spreadsheet of PM and 3PI for the necessary information needed
    • Create HS notes and update HubSpot ( especially the Defect and Depreciation portion)
  • Monitor Service Agreement Forms:
    • Manually monitor the signed service agreement forms of the 3PI through the manual tracker
    • Send out follow-up emails to members who have not signed yet.
    • Upload forms in member’s Gdrive.
    • Update Defect and Depreciation portion of HubSpot ( Defect Form Completed)
  • Inform PM and 3PI for deals that have fallen through to avoid unnecessary follow-up and email
  • DURING SETTLEMENT:
    • Defect Inspection Report
    • Upload Defect Inspection Reports provided by 3PI in members’ Gdrive
    • Update HubSpot (dates of the report)
    • Follow up on member’s payment.
    • Follow up on member’s payment to 3PI to gain access to the report
    • Monitor payment, and create tasks in HS.
  • AFTER SETTLEMENT
    • Settlement Date
    • Provide the Settlement date to PM and 3PI by populating the spreadsheet.
    • Handover Date
    • Email PM inquiring about the Handover Date of each deal
    • Change Stage in HubSpot to Handed over to PM and indicate in Note
    • Monitor and Upload the Tax Depreciation Schedule of each deal
    • Provide COS to 3PI 
    • Facilitate TDS reimbursement, upon request.
    • Cater the complaints of the member regarding defect rectification issues.
  • Provide Construction Updates to each project.
    • Provided by the developer. 
  • Cater MCM request.
    • Send out an intro before the 45-day window.
    • Send out the key authorization form.
    • Send out other services by the developer (blinds, etc)
  •   Cater Member care general requests if Marvin Ignacio is on leave.
  •  Assist the member.
 

Qualifications:

  • Demonstrated ability to work independently in a virtual team environment by exhibiting high personal work standards and flexibility.  
  •  General knowledge of Settlement Operations
  • Knowledge of products and services offered by Freedom Property Investors
  •  Excellent verbal and written communication skills.
  • Demonstrated experience working in real estate or bank environments. (preferred)
