Job role: The Executive Assistant will work closely with the Owner to oversee a variety of general business projects that ensure smooth day to day operations for the business and the customers.

As a virtual EA you will wear multiple hats as this consultancy helps businesses with a wide variety of projects. The role works very closely with customers to project manage both administrative and strategic initiatives; including database entry and management.  One day you may be working on a financial model, the next day helping to manage a client’s ERP. Familiarity with ERP and CRM systems will be very helpful in this role.

You’ll work very closely with customers; timely, clear and concise communication is key.

To be successful in this role you are a proactive, effective communicator, who is highly organized and has a 'customer first' mentality.

You will join several other team members working remote from the Philippines.

In this role you will:

  • Manage calendars, schedule meetings and help plan events.
  • Handle emails, phone calls, and communications, making sure the right info gets to the right people.
  • Put together agendas, take notes in meetings, and keep track of follow-ups.
  • Project manage customer accounts on an ongoing basis.
  • Draft, edit, and organize presentations, reports, and other important documents.
  • Keep customer databases and records up to date, organized, and easy to access.
  • Jump in on special projects and help with research and data when needed.
  • Create and process customer invoices via Quickbooks.
  • Continuously monitor and optimize workflows for efficiency, cost-effectiveness, and productivity.
  • Help with office tasks, events, and any other ad-hoc projects that keeps the team and business running smoothly.

About you:

  • Legally eligible to work in the Philippines.
  • Strong fluency in verbal and written English.
  • As an independent contractor, you must have your own laptop / computer and secure, high speed internet access.
  • 2+ years in a Executive / Administrative and/or Project Manager role (or similar) leading customer facing projects.
  • Experience with ERP and/or CRM systems. This Client uses Growth Zone.
  • Excellent communication skills; experience working directly with US customers.
  • Ability to take initiative, problem-solve and work independently
  • Bonus points: experience in small, dynamic US based start-ups
  • Bonus points: expertise in ERP/CRM; experience with Growth Zone

The details:

  • Role type: Independent Contractor
  • Location: Work from home - 100% fully remote (from the Philippines)
  • Working schedule: Full time 40 hours per week, NYC Eastern Standard Time (EST)
  • Hourly rate: PHP ₱250-400 per hour depending on experience
