The Operations and Inventory Coordinator is the backbone of our office, overseeing administrative functions and managing office-based inventories to ensure smooth, efficient, and productive business operations.

Responsibilities

  • Office Management: Welcome visitors, handle deliveries, and coordinate with vendors to keep our office running smoothly. Serve as the first point of contact for general inquiries via calls, faxes, and in-person visits.
  • Facility Management: Open and close the office, ensure our spaces are tidy and inviting, and liaise with building management for any facilities issues.
  • Inventory Management: Maintain supply inventories, order, store, and audit both general office and medical supplies, including medications, vaccines, and sterile medical equipment, following established processes.
  • Administrative Support: Ensure timely submission of vendor invoices, manage mailings, update provider on-call schedules, and schedule local meetings and events.
  • Communication: Maintain market-specific email distribution lists and serve as a key liaison between the office and local market leadership team.
  • Travel & Events: Coordinate travel planning for the local market leadership team and organize annual events for local employees.
  • Health & Safety: Complete company-provided respiratory FIT testing certification and perform annual testing for patient-facing employees. Support market teams by scanning physical documents into patient charts as needed.

Qualifications

  • High school diploma or equivalent.
  • 2+ years of professional experience in office management, preferably in a medical setting.
  • Excellent organizational skills and strong attention to detail.
  • Proficiency in operating office equipment (printer, fax, copier) and MS Office products, especially Outlook and Teams.
  • Demonstrated critical thinking skills, flexibility, and the ability to work independently with minimal oversight.
  • Ability to work on-site, Monday to Friday from 8:30 am to 5:00 pm local time.
