Role Title

Administrative Coordinator, Member Engagement

Purpose of role

Reporting to the Team Lead, Member Engagement, the Administrative Coordinator, Member Engagement will provide support to members, sales and partnership initiatives, the engagement and governance teams through a variety of tasks. The successful candidate will be responsible for supporting strategy implementation, coordinating and creating activity marketing, leveraging lead contacts, overseeing member journey pipeline and updating and analyzing tracking documents to help drive new engagement in Foresters Member Network. This role requires a flexible work schedule, requiring some evenings and weekend work, and may require some travel.

Key Responsibilities

Successful candidates must be positive, reliable, collaborative, adaptable, comfortable with change, and thrive in a fast-paced environment. Candidates must be able to perform the essential duties of the position, including:

  • Create and promote event activity marketing for Regional Event Member Coordinators, across various event management system platforms
  • Research and identify member led events for Regional Event Member Coordinators to attend 
  • Manage engagement lead sheet, acting as the first point of contact for the Engagement Team
  • Support partnership and sales activities as well as Leadership and three country webinars 
  • Maintain and update engagement pipeline tracker
  • Support Member Engagement Strategies (Governance, Benefits, Marketing and Partnerships) by providing feedback during development, implementation and strategy monitoring
  • Track, monitor and provide up to date data about member status on lead sheets, and on the pipeline tracker, according to the member journey model
  • Provide consistent, accurate and streamlined communication to our members 
  • Collaborate with Governance team to strengthen the connection between the two teams to continue to grow the Member Network 
  • Review and prepare content for social media, Foresters Blog, annual reports, corporate sustainability reports, Foresters First Look etc.
  • Clear understanding of and adherence to legal, compliance, and privacy regulations
  • Administrative duties include daily review of email(s), Microsoft Teams, and other annual online trainings and related tasks

Key Qualifications
  • 1-2 years of work experience in a relevant field or University degree or College diploma
  • Demonstrated experience successfully working with volunteers, including understanding volunteer motivation
  • Demonstrated community involvement and/or volunteerism
  • Previous experience in event planning or project management
  • Self-starter who can comfortably work independently from their home office
  • Ability to give and receive constructive feedback
  • Excited to learn new technology and skills 
  • Excellent organizational and time management skills
  • Excellent verbal, phone, and written communication skills, including cold calls 
  • Excellent attention to detail
  • Demonstrated ability to handle multiple accountabilities simultaneously
  • Pragmatic thinker and problem solver
  • Proficient in Microsoft Office specifically Excel, Word, Teams, PowerPoint, and Outlook 
  • Experience with measuring, recording and maintaining activity and member data information and results
  • A printer/scanner, email, internet, phone (unlimited calling plan) are required
  • Position may require travel, must have access to own vehicle
  • Valid passport is required for occasional international travel
