Due to our rapid growth, we're seeking a highly organized and detail-oriented Admin Assistant / Recruitment Specialist to support our recruitment operations and assist in expanding our reach to even more countries around the world.

Job Overview

As our Admin Assistant / Recruitment Specialist, you will play a crucial role in supporting our recruitment team by managing essential administrative tasks. Your responsibilities will include organizing candidate interviews, maintaining our CRM database, preparing documents, and providing top-notch customer service to both candidates and clients. You'll be an integral part of ensuring our recruitment process runs smoothly, contributing to the overall success of our department.

Key Responsibilities

  • Reach out / follow up prospective leads.
  • Keep sale trackers / CRM portals up to date.
  • Create / update client proposals.
  • Coordinate meetings with clients.
  • Create job descriptions.
  • Post job ads on different job portals.
  • Head-hunt candidates via LinkedIn and other platforms.
  • Review and assess candidate application forms.
  • Provide clients with recommendations on shortlisted candidates.
  • Pre-screen candidates via phone conversations.
  • Act as the primary contact between clients and candidates.
  • Send out weekly updates to our clients.
  • Create interview guides.
  • Arrange / attend Zoom interviews.
  • Organise reference checks.
  • Organize candidate assessments.
  • Organize police checks for successful candidates.
  • Assist in coordinating IT equipment for new hires.
  • Conduct exit interviews with candidates.
  • Creating policies and procedures.
  • Draft job offer letters and contracts.
  • Keep up to date with salary market.

Skills & Experience

  • 5+ years of Admin Assistant experience, preferably in a recruitment agency.
  • Excellent English communication skills, both written and verbal.
  • Excellent organizational skills.
  • Great customer service skills.
  • Onboarding Management.
  • Attention to detail.
  • Able to multitask.
  • Must be able to work in a team environment.
