Job Description

The Recruiting Systems Administrator supports the organization’s recruiting efforts and strategy by providing key operational ownership of its department’s systems and reporting. This position is the first point of contact for maintaining the Applicant Tracking System and is critical to team success by ensuring that the system workflows and functionality are optimized. This role requires the ability to effectively interact with others internally to drive new standards and influence them to follow best practices and adhere to standards.

ESSENTIAL JOB FUNCTIONS:

  • As an Administrator of the Applicant Tracking Software, this role is the first point of contact for its functionality and maintenance. This entails:
    • System workflow optimization:  Ensure that the system is well designed to support its users' optimal business use and processes.
    • User administration and training
    • Support the HRIS and ATS integration related to any configuration or data integrity issues that may need to be resolved. Assist with other systems integrations as needed
  • Update and maintain the USACS careers/job posting site- make suggestions regarding content and functionality.
  • Serve as a liaison between clinical recruiting and external 3rd party job board vendors (LinkedIn, PracticeMatch, etc.). Provide regular usage reporting to recruiting leadership, ensure content on the boards is up to date, and provide users with ongoing training
  • Collaborates with Recruiting leadership to identify system improvements and enhancements; recommends and provides solution implementation support
  • Identifying and implementing system and workflow improvements
  • Provide regular and ad hoc reports to USACS Leaders and Regional Vice Presidents as requested
  • Collaborate with others to provide data-driven insights that support strategic initiatives
  • Leverage the capabilities of the ATS, making workflows more efficient and reducing manual data entry and non-standard processes
  • Maintains optimal function of ATS including, but not limited to, customization, development, application, and system upgrades
  • Administrator for Clinical Recruiting policies and other systems-related documentation needs
  • Manage large-volume activities on system cleanup to maintain system data integrity
  • Devise and implement guidance to clients regarding understanding and use of Recruiting applications within areas of assignments.
  • Crosstrain to provide back-up coverage to other Recruiting Operations team members as needed
  • Partner with the Vice President of Recruiting with miscellaneous systems-associated projects as assigned
  • Participates in team and department projects related to process improvement in partnership with cross-functional departments such as Credentialing, Contracting, L&D, Finance, and HR Business Partners.
  • Assists in configuring new systems, including but not limited to the reference checking tool.
  • Assists with Clinical Recruiting vendor management, including job boards and 3rd party vendors, partnering internally with Finance and Legal to execute and maintain agreements.
  • Support quarterly recruiting commissions for payment, tracking yearly accumulative totals and communicating to the Compensation and Recruiting Leadership Team.
  • Other duties as assigned.

  • Proven skills with Microsoft Excel for data extraction and transformation, including formulas, pivot tables, and lookups.
  • Aptitude for learning new software systems.
  • Ability to maintain patience and composure in difficult situations.
  • Ability to maintain confidentiality.
  • Ability to navigate and manage external vendor relationships effectively to maintain strong partnerships and favorable contract terms.
  • Ability to exhibit a commitment to teamwork, supporting alignment with company and department goals and objectives, assisting others to develop their knowledge of the company and department, and adapting to changes positively.

EDUCATION AND EXPERIENCE: 

  • A bachelor's degree in information systems, general business, or something related is required.
  • At least 5 years of hands-on experience managing information systems, ideally HRIS (e.g., Workday) and/or Recruiting systems (Applicant Tracking System). Will also consider equivalent experience managing Marketing CRM software.
  • Strong computer knowledge and skills, including Advanced MS Excel, Word and PowerPoint.
  • Experience building and improving process workflows.
  • Excellent interpersonal and technical support skills.
  • Ability to effectively prioritize tasks and work efficiently in a fast-paced environment.
  • Strong Analytical and problem-solving skills.
  • Familiarity with HR policies and procedures preferred.
  • Advanced Microsoft Excel skills.
  • Experience with database management systems (HRIS), PowerBI, and Reporting.

PHYSICAL DEMANDS:

  • While performing the duties of this job, the employee is regularly required to sit for prolonged periods and occasionally walk, stand, bend, stoop, and lift up to 15 pounds.
  • Required to have close visual acuity to perform the job.

Salary Range:

$59,364.00 - $109,823.00

Salary may be determined on several factors including but not limited to knowledge, skills, experience, education, geographical location and requirements stated in job description.
