Job Summary:

We are seeking an experienced Operations Manager to oversee and streamline our company's day-to-day activities. The ideal candidate will be responsible for managing the overall operations to ensure efficiency, productivity, and quality in all aspects of the business. This role requires a strategic thinker with strong leadership skills who can drive continuous improvement across departments.

Key Responsibilities:

  • Provide high-level admin support to the Executive team, including calendar management, and scheduling meetings.
  • Oversee daily operations and ensure all processes align with company goals.
  • Prepare agendas, take minutes, and follow up on action items from meetings.
  • Help onboard new team members.
  • Send out monthly client NPS.
  • Prepare welcome, birthday and anniversary gifts for team members.
  • Publish posts on our website / social media accounts.
  • Email weekly newsletter to clients.
  • First line of system support when team members have hardware problems.
  • Allocate new leads to Mentors, updating all details in our WizeHub system.
  • Act as the primary point of contact between Executive team and clients.
  • Develop and implement operational policies and procedures.
  • Monitor and report on key performance indicators (KPIs) to Executive team.
  • Facilitate training and development programs to enhance team capabilities.
  • Organise company events and conferences, ensuring all logistics are managed effectively.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Coordinate with different departments to improve operational efficiency.
  • Identify opportunities for process improvements and cost reductions.
  • Complete Bookkeeping, payroll and activity statements for the company.
  • Month-end reconciliations.
  • Help set our companys financial budget.
  • Prepare year-end tax calculations.

Qualifications:

  • 5+ years of experience in operations management or a similar role.
  • Proven leadership and team management skills.
  • Strong problem-solving abilities and analytical skills.
  • Excellent communication and organizational skills, both written and verbal.
  • Advanced Excel skills and other Microsoft office skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
