Your missions

Job Title: Supply Chain/ Operations Manager

Location: Remote

Working Hours: 40-60 hours per month (Part-time, potential to transition to Full-time)

About the Role:

We are seeking an experienced Supply Chain Manager to oversee the end-to-end operations of our bag manufacturing and distribution process. This role will be critical in ensuring smooth logistics from our factories in Vietnam and Thailand to our warehouses in the US, managing vendor relationships, monitoring inventory levels, and ensuring timely shipments. Operationally this person will also review all pending invoices and ensure all amounts are correct before they are paid. 

Responsibilities:

Operations Management:

  • Oversee daily operations related to manufacturing..
  • Manage vendor relationships and negotiate terms to ensure cost-effective procurement.
  • Monitor and manage inventory levels, ensuring optimal stock to meet demand without overstocking.
  • Monitor Marketing Calendar and ensure klaviyo email, paid ads agency and Shopify discount codes are activated 

Logistics and Shipping:

  • Coordinate shipments from factories to US warehouses, ensuring timely and cost-effective delivery; using our designated freight forwarder/broker
  • Schedule and manage container shipments, determining the best distribution between warehouses.
  • Handle air shipments when necessary due to factory delays or out-of-stock situations.

Inventory Planning and Control:

  • Maintain and update the master Excel sheet tracking all SKU numbers and packaging requirements.
  • Utilize the warehouse management system to monitor inventory movements and generate reports.
  • Escalate any issues from customer service to the warehouse and ensure prompt resolution.
  • Maintain and assign our SKU number catalog for new products releases
  • Create, maintain and share with factory a checklist of items to complete when placing new product orders. Including but not limited to: final tech pack, product dimensions, weights, packaging, graphic design work etc. 
  • Ensure care label wording is accurate including PO number (if there's a customer issue we can track back to PO). 
  • Reconcile received inventory at warehouse with packing list generated from factory at time of shipping

Reporting and Reconciliation:

  • Generate monthly reports on inventory levels, shipping costs, and other key metrics.
  • Manage monthly affiliate payments and track expenses related to inventory and shipping.
  • Review and reconcile warehouse and shipping invoices to ensure accuracy.
  • Monitor inventory levels and build out a safety stock calculation to trigger new orders (to avoid out of stock situations)

Process Improvement:

  • Identify and implement process improvements to enhance operational efficiency.
  • Work closely with the warehouse team to ensure a smooth logistical experience.
  • Collaborate with the CEO to develop and execute strategic plans for supply chain management.
  • Twice a year, review our 3PL relationship and speak with potential new 3PL providers to ensure we are receiving the best pricing. 

Requirements

  • Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
  • Proven experience in supply chain management, logistics, and inventory control.
  • Strong understanding of vendor management, inventory planning, and warehouse operations.
  • Excellent organizational and multitasking skills with a keen attention to detail.
  • Proficiency in using warehouse management systems and Excel.
  • Strong communication and interpersonal skills, with the ability to manage relationships with vendors, warehouses, and internal teams.
  • Problem-solving skills and the ability to work under pressure to meet deadlines.
